CS Construction is hiring a Project Administrator to support our project teams while also serving as the front desk hub of our office. This is a mixed-function role, part project support, part document control/tracking, and part customer-facing coordinator. You’ll work closely with our Project Administrator to help manage subcontractor insurance compliance and keep critical project documentation organized, accurate, and up to date.

This is a great role for someone who is interested in construction management and wants hands‑on exposure to how projects run behind the scenes while building strong coordination, documentation, and subcontractor compliance skills.

What You’ll Do Office Coordination
  • Greet visitors and support a professional, welcoming office environment
  • Answer and route calls, manage general inbox requests, and coordinate messages to the right team members
  • Support office coordination needs (mail, deliveries, basic scheduling support, meeting prep as needed)
  • Assist project teams with day‑to‑day administrative needs: document routing, printing/scanning, meeting materials, and basic project coordination
  • Help maintain clean, consistent file organization across projects (digital + physical as needed)
  • Track action items and follow through to completion—no dropped balls
Subcontractor Insurance Compliance
  • Collect, review, and track Certificates of Insurance (COIs) and related insurance documents
  • Support subcontractor onboarding documentation and ensure compliance requirements are met before work begins
  • Maintain compliance logs and communicate clearly with subcontractors when items are missing, expired, or incorrect
  • Coordinate with internal team members to ensure insurance requirements align with project needs

  • Insurance and compliance documents are complete, current, and easy to find
  • The front desk runs smoothly—calls/visitors are handled confidently and professionally
  • Project teams feel supported because tracking, document control, and coordination are consistent and reliable
  • You’re proactive, organized, and comfortable following up (without being asked twice)
Required Qualifications
  • Strong customer service skills and comfort being the first point of contact in a professional office
  • High attention to detail and strong organizational habits (tracking, document control, follow‑up)
  • Confident communicator: friendly, clear, and able to work with a wide range of personalities
  • Ability to shift gears quickly and wear multiple hats in an ever changing environment
  • Proficiency with common office software (Microsoft Suite, PDFs, spreadsheets, email)
Preferred Qualifications (A Plus)
  • Experience in construction (general contractor, subcontractor, supplier, or related construction office environment)
  • Experience with insurance documentation (COIs, endorsements, policy language) or compliance tracking
  • Construction/project administration experience supporting multiple stakeholders and deadlines
  • Familiarity with construction/project platforms (example: Procore, Bluebeam, SharePoint, Smartsheet, etc.)
