Purpose:

To provide administrative support for CAP Services (Career Services, Academic Advising, and Placement).

Essential Duties and Responsibilities

General office support:

  • Perform general office duties such as copying; answering phone calls; making campus deliveries; updating office bulletin boards and lobby area displays; data entry; filing; inventorying and ordering supplies, documents and brochures; making basic flyers, posters, or digital promotional materials; use standard office equipment such as multi-line phone and copier.

Assist students or visitors in various student service areas:

  • Staff CAP Services front desk; greet students and visitors; schedule student appointments with academic advisors and for placement; answer basic questions and explain available resources.

Event and Workshop Support
:

  • Provide assistance with CAP Services events and special projects, including on-site support for programs such as Job Fest, Bobcat Advising and Registration, and other outreach activities.

Provide feedback on programs and services:

  • Engage with office resources, services, and programs (e.g., career exploration tools, orientation materials) and provide student-centered feedback. Discuss new ideas with staff as needed.

Technology:

  • Use Microsoft Office programs (Outlook, Word, Excel, PowerPoint) with basic proficiency. Training will be provided on Banner (student database), SARS scheduling system, Canva, and COCC website tools as needed to complete job duties.

Provide Placement Support:

  • Act as a test proctor for students taking in-person math or writing placement assessments. Training will be provided.

  • Ability to manage time, prioritize and organize tasks and projects, and perform work without constant supervision and within a team environment.
Ergonomic Requirements

Regular office hours are established between 8 am – 5 pm during the workweek. A flexible work schedule, including nights and weekends, may be necessary due to the nature of the responsibilities.
