JOB PROFILE – Technical Manager:
Operations

Supply Chain team responsible for identifying and implementing effective processes that enable a robust supply chain ensuring high levels of availability to support the entire Value Chain.

Position Overview

Technical Manager to oversee ISO GMP and quality standards, leading certification, regulatory compliance, quality documentation and continuous improvement initiatives across the Technical Department.

Knowledge – Standards and Technical Expertise
  • GMP and quality standards in cosmetics, food or pharma.
  • Regulations regarding product labelling, forbidden raw materials or packaging materials (EU, CTFA, BWC, SA).
  • Technical specifications for cosmetics, food or pharma.
  • Packaging technology and ingredients formulation knowledge.
  • Proficient use of Word, Excel and Outlook.
Purpose

Ensure that products produced are fit for purpose, consistent and meet external and internal standards and that products and processes comply with ISO GMP, Sedex SMETA and ISO 9002. Provide product information that is complete, compliant and up to date.

Key Performance Indicators – Outcomes
  • Maintain certification on ISO 22716 GMP, ISO 9002 and Sedex SMETA.
  • Schedule and publish certification programme.
  • Prepare annual budget for certification authorisation.
  • Liaise with certifying bodies and coordinate certification activities.
  • Keep up to date on standards amendments.
  • Internal Auditing and Gap Management to obtain and maintain certification.
  • Version control of ISO Library on K Drive (POL
    019‑0 Document Control Policy and Procedure).
Functional Duties and Responsibilities
  • Complete, maintain and version control required documents (SOPs, Work Instructions, Policies, Record Items such as forms logs).
  • Ensure procedures are managed in an integrated manner and the impact of change is managed across relevant SOPs, WIs and Documents.
  • Maintain Library indices and version control on the K Drive.
  • Publish annual calendar of existing customer audits.
  • Act as liaison for scheduling customer audits – existing and new potential customers.
  • Convert Post Audit Non-Conformance Report into the Company standard for Non-Conformance and propose ownership and deadlines for consultation and agreement.
  • Schedule Non-Conformance Meetings, update progress on the Report and issue updates internally and to the customer.
  • Maintain up‑to‑date knowledge of current regulations and relevant technical product information.
  • Attend NPD and R&D meetings, provide input on regulatory and business requirements.
  • Advise on current and emerging cosmetic labelling requirements.
  • Check and sign off finished artwork proofs and standards.
  • Hold daily meetings with Quality Officers: updates on Daily and Monthly Plan and Progress, discuss team news, training, etc.
  • Invite and use questions or queries to ensure teams are on track and the QOs improve their critical thinking and problem‑solving skills.
  • Promptly address intra‑departmental conflicts or issues that may affect quality and productivity.
  • Train staff on HSE and Quality policies and procedures of the company.
  • Ensure that the department sets the standard for compliance to procedure.
  • Observe work weekly and address any training or other issues noted with the QOs.
  • Implement independent internal audit of the department annually.
  • Set up a quarterly schedule with each QO to review logs, including the rating achieved for the year in their performance review score.
  • Timeously and correctly apply the positive corrections required by the company disciplinary policies and procedures.
  • Carry out annual performance reviews with all QOs and ensure that they do the same for their team members.
  • Not allow behavioural or performance deficits to slide and persist until they become chronic or serious through inattention.
  • Motivate staff by positive feedback, collaboration and team goal acknowledgement.
  • Provide a Monthly Technical Report: consolidate data, write a narrative summarizing trends, issues and achievements.
  • Maintain customer audits and CAPA management, including reporting dashboards and narrative.
