Overview
The Escrow Assistant supports escrow officers in all phases of the escrow and closing process, from file opening through post‑closing. This role ensures the timely and accurate preparation of escrow files by reviewing contracts, entering data, ordering title reports, assisting with clearing title requirements, and delivering exceptional customer service to all parties involved in the transaction. The ideal candidate is detail‑oriented, organized, and able to manage multiple priorities in a fast‑paced environment.
Duties- Receive, review, and verify purchase contracts and escrow instructions; request missing information as needed.
- Receipt earnest money funds and issue receipts to the appropriate parties.
- Enter transaction data into escrow systems and order title reports.
- Prepare opening title and escrow packages and assist with title‑clearing efforts.
- Review title reports and order/track items required to clear title, including liens, payoffs, judgments, taxes, HOA documents, and utilities.
- Track and monitor key dates, timelines, and contingencies.
- Manage incoming and outgoing mail related to escrow files.
- Follow up on outstanding documentation to keep files progressing on schedule.
- Assist in preparing files for closing, including gathering necessary escrow and loan documents.
- Ensure title issues are resolved and files are balanced prior to closing.
- Handle disbursements, including issuing checks and wiring funds, and notify parties when recording and funding occur.
- Support escrow officers with administrative and transaction‑related tasks as directed.
Required:
High school diploma or equivalent. Preferred:
Additional coursework or certifications in real estate, title, escrow, or related fields.
Preferred:
Experience in escrow, title, or real estate. Familiarity with escrow and title processes and timelines. Experience using escrow processing systems (such as Soft Pro, Res Ware, or similar).
Not required:
Entry‑level candidates with strong customer service and administrative skills will be considered.
- Strong attention to detail and accuracy in a deadline‑driven environment.

- Professional, clear, and courteous verbal and written communication skills.

This position is eligible to earn compensation in the range of $27.00-$30.00/hourly based on location and job‑related factors such as skillset and experience. The base compensation is one component of the total rewards package offered to our employees, including optional health and welfare insurance (medical/dental/vision/life/disability); paid holidays, vacation, and sick time off; and matching 401(k) plan and matching employee stock purchase plan.
