Overview
The Payroll Specialist processes District-wide payroll information and assists in payroll-related matters. The position supports payroll operations and ensures accuracy and compliance with applicable laws and policies.
Duties & Responsibilities(These duties are a representative sample; position assignments may vary.)
- Implements provisions of collective bargaining agreements, federal and state laws impacting payroll, District policies and procedures related to payroll, the District budget coding system, and District benefit plans, including medical, dental, vision, life, disability, annuity, and other plans.
- Processes District payroll timecards, employee assignment sheets, emergency forms, released time forms, W-4s, salary reduction agreements, medical/dental enrollment forms, billing statements for tax deferred annuities and insurance plans, payroll deduction authorizations, direct deposit agreements, pay warrants, and other miscellaneous documents.
- Inputs data into computerized payroll system; prints reports as necessary to aid in verifying data; uses the payroll system to approve assignments, set up payment schedules and payroll deductions, and make journal entries to adjust benefit payables; collaborates with the data processing department to troubleshoot system problems and design system improvements.
- Responds to employee questions about payroll; communicates proper timecard coding and other District payroll procedures to office managers, department heads, and supervisors; works with human resources salary coordinators as necessary to produce or modify assignments in the payroll system.
- Reconciles insurance and annuity billing statements with payroll information; researches payroll data to resolve discrepancies; reconciles absences with emergency, personal, and released time forms; researches paid leave information to establish leave without pay assignment dates; reconciles substitute log with timecards; calculates schedules of salary payments, cash-out value of vacation and sick leave, and life and accidental death and disability billing reconciliation.
- Maintains custody and ensures security of pay warrants, payroll records and source documents, W-2s, and other documents, as required by law; maintains confidentiality as required.
- Performs a variety of miscellaneous payroll office functions, including maintaining the filing system, sorting mail, assisting with correspondence, and copying documents.

- Reports directly to and is supervised by Payroll Manager
Education & Experience (positions in this class typically require):
- One year of coursework in accounting, payroll or human resources and two years of payroll, accounting or personnel experience
- Experience with computerized payroll systems desirable
Preferred
- School district experience desirable.
Allowable Substitutions
- An additional year of qualifying experience may substitute for the required coursework.
