POSITION SUMMARY
The Event Services Specialist will assist the Development Department in executing high-impact events for College Success Foundation, including but not limited to Costco Scholarship Fund, the annual Breakfast and Supplier Day. This role supports seamless event operations, donor engagement, and exceptional stakeholder experiences through administrative coordination, database management, and marketing support.
PRIMARY DUTIES AND RESPONSIBILITESThe items listed in this section are the primary duties and responsibilities for this job and do not represent an exhaustive list. Event Coordination & Administration- Assist with creating and updating event website content, sponsorship materials, and marketing collateral.
- Support the development of targeted email campaigns and stakeholder communications.
- Help manage guest lists, registration processes, and attendee correspondence.
- Provide administrative support for sponsor benefits administration and fulfillment.
- Assist with entering and tracking donations in Salesforce, maintaining data accuracy.
- Support the preparation of invoices, tax receipts, and donor acknowledgements.
- Maintain comprehensive records of event attendees, sponsors, and contributions.
- Provide responsive customer service to donors, sponsors, vendors, and event attendees.
- Address inquiries from stakeholders in a timely and professional manner.
- Assist the Data and Event Services Manager with additional projects and initiatives as assigned.
- Collaborate with team members to ensure smooth event operations and positive stakeholder experiences.
Education and Experience
Any equivalent combination of education and experience that provides the necessary qualifications to successfully perform the duties of the position will be considered.
- Minimum 3 years of relevant experience in event coordination, project management, or administrative support
- Nonprofit event or fundraising experience strongly preferred
- Experience with donor/constituent management software (Salesforce experience highly valued)
- Experience with event management platforms (CVENT or Swoogo experience a plus)
- Bachelor's degree preferred.
- Ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication skills; able to craft professional correspondence for diverse audiences.
- Strong interpersonal skills and commitment to providing exceptional stakeholder experience and foster positive relationships.
- Proactive, solution-oriented approach with ability to identify and resolve issues independently.
- Team player with positive attitude and collaborative work style.
- Ability to prioritize responsibilities in a fast-paced environment and demonstrate resourcefulness.
- Creative thinker energized by implementing new ideas and process improvements.

- Proficiency with donor/constituent management systems including but not limited to (e.g., Salesforce) and proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Demonstrated ability to learn and utilize new software platforms quickly.
- Strong database management and data entry skills with high attention to accuracy.
- Ability to travel up to 20%, primarily local/regional for event support.

- This position requires Washington state residents if assigned in a Washington based location. If this position is assigned in a District of Columbia based location the resident must reside in the District of Columbia.
- Job may allow for hybrid work arrangements.
- Uses collaborative software for communicating with others and attending virtual meetings.
- Flexibility to work occasional evenings or weekends during peak event periods preferred
- Valid driver's license, proof of insurance, and reliable transportation preferred
