Full Time – Non-Exempt HOURS PER WEEK: 40 SALARY RANGE: $21- $23 hourly

Bell Gardens, CA POSITION SUMMARY

Under the direction of the Program Coordinator, the Program Aide
- Data Assistant is responsible for performing a variety of clerical and data management tasks in support of child abuse prevention programs under the Partnerships for Families (PFF) SPA 6 & 8 contracts. This position assists with coordinating family-centered activities designed to promote and strengthen protective factors for client families.

DUTIES AND RESPONSIBILITIES
  • Accurately enter and maintain data related to client demographics, services provided, outcomes, billing, and program reports.
  • Assist in developing and maintaining effective data tracking systems with a high level of attention to detail; coordinate, track, and manage all program data.
  • Maintain program files in strict compliance with confidentiality standards.
  • Support supervisors with contract compliance and quality assurance activities (e.g., peer reviews, quality assurance meetings, chart audits).
  • Perform general office duties such as typing, filing, answering phones, reviewing emails and correspondence, and reception tasks.
  • Assist with coordinating community engagement and outreach activities.
  • Organize family-centered activities to promote and strengthen protective factors.
  • Attend agency, program, and collaborative meetings.
  • Perform related duties as assigned.*

KNOWLEDGE,

SKILLS AND ABILITIES
  • Strong interpersonal and customer service skills with professional boundaries.
  • Ability to work collaboratively with supervisors, colleagues, clients, and community stakeholders.
  • Excellent verbal and written communication skills, including professional language and strong spelling/grammar (Spanish proficiency highly desirable).
  • Ability to work effectively with individuals from diverse cultures and underserved populations.
  • Exceptional time management and organizational skills; high attention to detail and accuracy.
  • Proficiency in Microsoft Office and general technology applications.
  • Basic math and accounting skills.
  • Ability to manage multiple tasks and projects independently with sound judgment and initiative.
  • Willingness to work outside regular hours as needed (including evenings and some weekends).
  • Strong problem-solving and critical thinking abilities.
  • Commitment to maintaining confidentiality.
  • Knowledge of Strengthening Families Protective Factors (highly desirable).
  • Familiarity with the DCFS Core Practice Model (highly desirable).
  • Ability to accept and apply constructive feedback.
EDUCATION AND EXPERIENCE

Any combination of experience and education likely to provide the required knowledge, skills, and abilities:

  • Associate degree or higher preferred; high school diploma or equivalent with extensive experience accepted.
  • Two to three years of clerical experience; at least one year as an administrative assistant or office manager with responsibilities including report preparation, correspondence, spreadsheets, file maintenance, and data entry.
  • Experience working with underserved and unserved populations (e.g., people of color, LGBTQ+ community, male survivors, tribal populations) highly desirable.
  • Experience with community engagement and outreach strategies a plus.
LICENSING/CERTIFICATION REQUIREMENTS
  • Occasional driving is required. Must provide your own vehicle, valid California Driver’s License and proof of full insurance coverage.
  • Negative tuberculosis screen.
  • We require the selected candidate to undergo a criminal background check using the Live Scan fingerprinting method in compliance with applicable laws and regulations.
