Location: Town of Belgium

To provide professional, accurate, and efficient administrative support to the Warehouse & Logistics Department, ensuring high standards of service to customers, suppliers, and internal stakeholders.
The role ensures smooth warehouse operations, strong stock control, and full compliance with customer and supplier requirements.

Warehouse Administration

  • Provide comprehensive administrative support to the Warehouse team, ensuring all operational processes are followed accurately and efficiently.
  • Administer booking‑in and booking‑out processes, including controlling paperwork and maintaining accurate data entry.
  • Manage and action all incoming and outgoing emails related to warehouse, stock, transport, and supplier communication.
  • Maintain organised and compliant filing systems for all warehouse documentation.

Stock & Inventory Control

  • Ensure timely and accurate ordering and delivery of stock to meet business requirements and deadlines.
  • Report low stock levels promptly to the Warehouse Supervisor.
  • Investigate stock discrepancies and report findings with supporting information.
  • Assist with scheduled and ad‑hoc stock‑takes as required.

Transport & Deliveries

  • Manage all outbound transport labels and ensure correct documentation accompanies all shipments.
  • Organise, plan, and book deliveries and collections with blue‑chip customers, suppliers, and logistics partners.
  • Adhere to strict supplier manuals, compliance guidelines, booking portals, and operational procedures required by high‑profile customers and large retailers.
  • Ensure all delivery bookings meet customer‑specific requirements, including time slots, labelling, ASN creation, and documentation accuracy.

Returns & Collections

  • Process returns and organise collections efficiently and professionally.
  • Maintain accurate logs and update relevant systems.

Service, Compliance & Safety

  • Provide a polite, professional, and efficient service at all times.
  • Ensure compliance with company Health & Safety standards, quality procedures, and legislative requirements.
  • Take reasonable care for both personal safety and that of colleagues.
  • Report any incidents, concerns, or improvement suggestions to line management promptly.

General

  • Support the Warehouse Supervisor and wider Logistics team as required.
  • Undertake any additional duties reasonably required to support effective warehouse operations and the smooth running of the business.

We offer

We offer a competitive remuneration package within an international, dynamic environment.

Working hours are 8:00 AM to 4:30 PM (with 0.5h unpaid lunch) Monday – Friday; weekends as and when required.
