Front Desk & Office Assistant

Position Summary:

We are looking for a proactive and all-round Front Desk & Office Assistant to join our team. This role is a key point of contact for visitors and employees and will go beyond traditional reception duties. The successful candidate will support central services, HR and other departments with various administrative tasks, contributing to the smooth and efficient operation of our office.

Key Responsibilities:
  • Welcome and assist all visitors, ensuring a professional and friendly first impression
  • Answer and direct incoming calls and emails
  • Manage incoming and outgoing mail and deliveries
  • Book taxi requests and lunches
  • Prepare meeting rooms
Administrative Support:
  • Provide administrative assistance to central services (e.g. travel, office supplies, mobility) and other departments (e.g. training administration)
  • Prepare and process purchase orders (POs) in SAP
  • Support scheduling and coordination of meetings, appointments, staff and office events
  • Maintain office supplies and place orders as needed (Lyreco)
General Office Management:
  • Maintain up-to-date records and documentation
  • Ensure compliance with health, safety, and security procedures
  • Take on ad-hoc projects and tasks as required by management
Profile &

Skills:
  • Proven experience in a similar office assistant, receptionist, or administrative role
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Proactive, service-oriented, and flexible mindset
  • Attention to detail and problem-solving skills
  • Discretion and confidentiality
  • Good command of MS Office and general office technology
  • Fluent in Dutch, English and French is a must
  • Experience with purchase order systems (SAP/ERP) and basic facility/HR tasks is a plus
