To support our continued international growth, we are looking for a structured and reliable Admin Support professional who will work closely with and report to the Office Manager.
Your MissionAs Admin Support
, you will assist the Office Manager and CEO with daily administrative and organizational tasks. You will ensure that processes run efficiently and that the organization is well-supported administratively. In this role, you are a key behind-the-scenes contributor, helping to ensure the organization operates smoothly.
- Admin Department Support: Assist with daily administrative tasks and operational activities.
- Administrative Processing: Manage and archive documentation and internal correspondence.
- Calendar & Meeting Support: Prepare, schedule, and follow up on appointments and internal meetings.
- Financial Administration: Support invoicing, purchase orders, expense claims, and administrative checks.
- Process Support: Contribute to the optimization and standardization of administrative processes.
- Facility Support: Share responsibility for managing the office building.
- Logistics Support: Assist with the shipment of international deliveries.
- Backup & Continuity: Act as a stand-in for the Office Manager during absences for basic operational matters.
- 20 hours per week
- To be scheduled over 5 days per week
- Education: Bachelor’s level of thinking and working; preferably a degree in administration or office management.
- Experience: Experience in an administrative or support role is a plus.
- Skills: Strong organizational skills and good knowledge of MS Office (Word, Excel, Outlook).
- Accuracy: Attention to detail and a structured way of working.
- Communication: Good command of the English language; additional languages are an advantage.
- Mindset: Proactive, service-oriented, comfortable in a support role within a growing organization, and able to work independently.
