Excel Careers and Excel Interim provide multilingual administrative support staff to companies across all sectors, specializing in profiles such as Receptionists, Management Assistants, Executive / Personal Assistants, HR Assistants, Sales & Marketing Assistants, Office Managers, Customer Service Representatives and Digital Marketing Officers. We provide both permanent and interim contracts.
We are currently recruiting an Executive Assistant for one of our clients, a law firm located in the centre of Brussels.
The Executive Assistant plays a key role in supporting partners by ensuring the smooth day-to-day operation of their professional activities. The position requires autonomy, discretion, and proactive problem-solving, with a strong focus on efficiency and service quality. The successful candidate will be trusted to manage sensitive information and operate with a high level of professionalism at all times.
Coordinate calendars, appointments, and business travel arrangements
Oversee the preparation, organization, and maintenance of legal documentation
Record and monitor timesheets
Review and submit expense claims
Arrange and manage conference calls and international telephone communications
Open and maintain client and matter files
Develop presentations and professional materials using Microsoft Office tools
Plan, organize, and support meetings and internal or external events
Assist with the coordination of seminars and professional gatherings
Ensure accurate filing and classification of documents in line with firm procedures
Demonstrated background as an executive, management, or legal assistant within a law firm or comparable professional services environment
Excellent command of English (both written and verbal); strong knowledge of French is highly desirable, with German considered an asset
Proven ability to manage multiple priorities in a fast-paced and demanding setting
Strong organizational and planning capabilities
Confident communicator, comfortable interacting with stakeholders at all levels
Self-motivated, reliable, and able to work both independently and collaboratively
Practical mindset with strong judgment and attention to detail
Adaptable and flexible approach to work
Proactive, solutions-oriented attitude
Advanced proficiency in Microsoft Office applications
Salary in line with the candidate's experience and skill set
