Salary: £33,000 to £38,000 per annum, depending on experience

Our reputation is built on reliability, professionalism, and a genuine people-first culture. Behind every successful event is a well organised operations team, and we are now looking for an Events and Operations Executive to play a key role in keeping everything running smoothly.
This is an administrative role suited to someone who is highly organised, detail focused, and confident handling client communication in a fast-paced events environment.
The RoleAs Events and Operations Executive, you will be central to the coordination of AV hires and event bookings. From managing enquiries and preparing quotes to scheduling jobs and raising invoices, you will ensure each event is accurately planned, documented, and delivered.
You will work closely with our technical and warehouse teams and act as a key point of contact for clients throughout the booking process.
Key Responsibilities- Manage incoming enquiries, prepare AV hire quotes, and follow up to convert bookings
- Coordinate event bookings within our rental management system, including scheduling crew and equipment
- Prepare job confirmations, pick lists, and event documentation
- Liaise internally to ensure equipment is prepared, dispatched, returned, and recorded accurately
- Act as a main point of contact for clients, managing communications and ongoing accounts
- Raise invoices and monitor payments using Xero, supporting light bookkeeping tasks where required
- Proactively identify scheduling issues, resource gaps, or clashes and work with the team to resolve them
- Support the creation of simple client-facing materials such as guides, checklists, or case studies
- Highly organised with excellent attention to detail
- Strong written and verbal communication skills
- Comfortable managing multiple priorities in a fast-paced environment
- Self-motivated, reliable, and able to work both independently and collaboratively
- Confident using Google Workspace, including Docs, Sheets, Gmail, and Drive
- Comfortable using LLM tools such as ChatGPT to support tasks like drafting emails or documents
- A professional, positive, and team focused approach
- Experience in AV, events, or equipment rental environments
- Familiarity with rental management platforms such as Rentman
- Experience using Xero or similar accounting software
- Previous experience in operations, events, or administrative roles
This role operates on a hybrid basis, with three days working remotely and two days based in our Belfast office.
Core hours are 9am to 5pm, with some flexibility. Office days are collaborative and client focused.
