The Trainee Administrator plays a key support role within the Finance and HR functions of the business, based in our Belfast office. This is an excellent opportunity for an individual at the early stage of their career to gain hands‑on experience across core financial and human resources activities. The role offers exposure to a broad range of administrative responsibilities within a dynamic and fast‑paced professional environment, supporting the efficient operation of internal processes and systems.
- Vouching of our press advertisements, ensuring that they have appeared as per the client specification and liaising with staff to resolve any queries quickly and efficiently.
- Assisting in the output of our daily sales invoices, including chasing client information (coding, purchase orders etc) and liaising with client contacts and other team members to resolve any queries quickly and efficiently.
- Setting up new clients on the finance system as and when required.
- Assisting in the processing of purchase invoices, ensuring appropriate approvals have been sought and invoice match purchase orders.
- Assisting with and resolving supplier queries. Checking supplier statements, requesting copy invoices as required and escalating any other issues to FD.
- Setting up new suppliers on the finance systems as and when required.
- Support to the Finance Director and Finance Team.
- Ensuring all data is input correctly and in a timely manner. This includes timesheets, journals, expenses etc.
- Assistance as required in the preparation of monthly accounting information.
- IT‑ logging faults with our IT provider as and when required.
- Front of House - checking voicemail and distribution of messages.
- General Admin - looking after the meeting room calendars.
- HR - Assisting FD with HR administration including weekly absence records, filing, photocopying, sending out post etc.
- Performing any other duties as may reasonably be required from time‑to‑time.
- Strong organisational skills.
