We are seeking an experienced, relationship-driven, and highly organized Director of Admissions & Community Relations to join our leadership team. This pivotal role ensures that every prospective resident and family experiences warmth, clarity, and support from their first interaction — while keeping our census strong and our community well-connected.
Position SummaryThe Director of Admissions & Community Relations plays one of the most mission-critical roles at Light of Hearts Villa. This individual is often the first voice families hear and the first face they meet during one of the most vulnerable seasons of their lives.
Beyond managing admissions logistics, this role requires exceptional interpersonal skills, emotional intelligence, and the ability to guide families through complex and often emotional transitions. The ideal candidate understands that admissions is both a ministry and a sales function — helping families make informed, confident decisions while ensuring the Villa maintains strong occupancy and healthy census growth.
This position requires someone who is highly organized, responsive, and detail-oriented. Timely follow-up, consistent communication, and thorough documentation are essential. The Director of Admissions must confidently use the organization’s CRM database to track leads, document conversations, schedule follow-ups, analyze conversion trends, and maintain accurate reporting.
At times, this role requires serving as a calm, steady presence — offering reassurance, education, and support to families navigating difficult decisions. Compassion and professionalism must work hand in hand with strong business acumen.
Admissions is not simply paperwork. It is relationship-building, trust-building, and mission-building.
Key Responsibilities Admissions Leadership- Serve as the primary point of contact for all inquiries related to assisted living, memory care, and respite stays.
- Conduct tours, assessments, and timely follow-up with prospective residents, families, and referral sources.
- Use the organization’s CRM daily to log inquiries, track leads, record conversations, update statuses, and maintain accurate data on each prospective resident.
- Ensure all documentation, assessments, and move-in paperwork are complete, accurate, and compliant.
- Collaborate with Wellness, Finance, and Operations to ensure smooth transitions and a coordinated move-in experience.
- Monitor admissions metrics, conversion rates, and census trends, providing regular reports to leadership.
- Maintain expert-level knowledge of our CRM system to drive efficient admissions practices.
- Track all leads, communication history, follow-up steps, scheduling, and admissions outcomes within the CRM.
- Regularly audit CRM data to ensure accuracy and completeness.
- Utilize digital communication tools (email systems, secure messaging, electronic forms) to communicate with families and partners.
- Use spreadsheets, dashboards, and reports to analyze trends and forecast admissions needs.
- Build and sustain strong relationships with hospitals, skilled nursing facilities, discharge planners, social workers, churches, civic groups, and other referral sources.
- Represent Light of Hearts Villa at community events, networking gatherings, professional meetings, and outreach activities.
- Coordinate outreach efforts and strengthen partnerships that support admissions and visibility.
