Core Responsibilities Office Operations & Administrative Oversight
- Function as the main liaison for office operations, ensuring teams have the resources and support needed to perform at their best.
- Manage executive and team calendars, coordinate meetings, and arrange travel logistics.
- Oversee office services, including supply purchasing, vendor coordination, and workspace planning.
- Administer procurement activities from request through completion, including purchase orders, requisitions, and vendor setup within SAP or comparable ERP platforms.
- Facilitate the routing, execution, and tracking of contracts such as NDAs and SOWs using systems such as ZIP, Ironclad, or similar tools.
- Manage recurring room scheduling, resolve space conflicts, and collaborate with facilities partners to optimize office usage.
- Build, maintain, and enhance trackers and dashboards related to procurement, contracts, and onboarding activities.
- Provide senior-level administrative and project support to leadership and cross-functional teams.
- Required Qualifications:
- Associate degree in business, operations, or a related discipline, or equivalent professional experience.
- 4–6 years of experience in office administration, operations coordination, or project support, ideally within a scaling or technical organization.
- Practical experience working with ERP systems such as SAP, contract management platforms (e.g., Ironclad), PLM tools, and Microsoft 365 applications.
- Proven ability to juggle competing priorities while maintaining accuracy and meeting deadlines.
- Working knowledge of procurement processes, supplier management, and contract administration.
- Strong communication skills and the ability to manage confidential information with discretion.
