Bookkeeper/ Accounting Clerk, Accounting Assistant, Accounts Receivable/ Collections
NOTE - this is an ONSITE position in Bedford, MA.
We’re looking for a detail-driven Bookkeeper to handle day-to-day bookkeeping and transactional accounting with a high level of accuracy, consistency, and ownership. This is a hands-on, individual contributor role for someone who takes pride in clean records, reconciliations, and meeting deadlines.
You’ll own core bookkeeping activities in Quick Books, support AP/AR and billing processes, and assist with payroll coordination as needed. This role is ideal for someone who enjoys structured processes, clear responsibilities, and being trusted with essential financial operations—without managing a department.
The Role
Bookkeeping & Transactional Accounting
Own day-to-day bookkeeping activities in Quick Books, including transaction entry, coding, and maintaining accurate general ledger records.
Process accounts payable and accounts receivable, including vendor invoices, approvals, payments, customer invoicing, and posting receipts.
Perform regular bank and credit card reconciliations and investigate and resolve discrepancies.
Support billing and invoicing processes to ensure accuracy and timely follow-up.
Maintain well-organized documentation and audit-ready financial records.
Payroll & Benefits Support
Support payroll processing by coordinating payroll inputs, reviewing reports, and assisting with issue resolution as needed.
Partner with payroll and benefits providers to ensure accurate data flow and documentation.
Assist with benefit-related transactions and reporting (e.g., 401(k) contributions or employee changes) as applicable.
Handle payroll and benefits information with discretion and confidentiality.
Reporting & Process Support
Assist with month-end close by preparing assigned schedules, reconciliations, and supporting documentation.
Follow established procedures and internal controls to ensure accuracy and consistency.
Identify opportunities to improve efficiency, documentation, and clarity within bookkeeping and transactional workflows.
Collaborate cross-functionally with internal teams and external vendors to resolve routine issues and discrepancies.
Requirements
5+ years of experience in bookkeeping or transactional accounting, with strong experience in AP/AR and reconciliations.
Highly detail-oriented with a strong sense of accountability for accuracy and deadlines.
Comfortable working independently and managing routine bookkeeping responsibilities end-to-end.
Organized, methodical, and confident working from established processes and checklists.
Experience handling confidential financial and payroll-related information.
Quick Books experience required.
Experience with Paychex, Voya, Well Sky, or similar systems preferred.
Professional, collaborative approach when working cross-functionally or handling routine escalations.
