We are hiring a full-time Office Manager responsible for Payroll, Recruitment, and Administrative Coordination to execute payroll for the firm, lead our talent acquisition efforts, and help maintain the office.

Who We’re Looking For

We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the day-to-day administrative operations of our mid-sized CPA firm. This role serves as the backbone of firm operations, ensuring smooth workflow, compliance with professional standards, and a positive office environment. A key responsibility includes independently processing payroll for all staff. The ideal candidate thrives in a professional services environment, can juggle multiple priorities, maintains strict confidentiality, and supports both administrative and light financial functions.

We will be looking for the following skills and abilities, including:

  • 3-5+ years of office management, administrative, or operations experience; prior experience in a CPA firm, or professional services environment strongly preferred.
  • Proven experience processing semi-monthly payroll (full-cycle) and familiarity with payroll regulations and software and managing benefits.
  • Ability to work independently with minimal supervision while being a collaborative team player.
  • Excellent verbal and written skills, as well as proficiency in time management and organization.
  • Strong interpersonal skills across all age groups.
  • Savvy with social media software, the Microsoft Office Suite, virtual meeting applications and online recruitment vehicles such as Indeed, Linked In and Handshake.
  • High level of integrity and commitment to confidentiality (critical in a CPA environment).
What You’ll Be Doing Office Administration & Operations
  • Be primary liaison with building management to coordinate office maintenance, repairs, safety protocols, and facility-related issues.
  • Involvement with recruitment activities for audit and tax associates.
  • Maintain our website to put our best face forward to the public.
  • Responsible for TKW event planning and social activities and other firm events.
  • Support any administrative assistants/reception staff if needed.
Payroll Processing
  • Process semi-monthly payroll for approximately 35 employees using payroll software.
  • Collect and verify timekeeping records and deductions.
  • Ensure accurate calculation and withholding of federal, state, and local payroll taxes, benefits, and deductions.
  • Maintain payroll records and generate required reports.
  • Stay current on payroll regulations and compliance requirements; coordinate with external payroll provider and 401k TPA.
  • Assist with new hire onboarding related to payroll setup and benefits enrollment.
Human Resources Support
  • Assist with onboarding new employees (paperwork, orientation, IT setup coordination).
  • Maintain confidential employee files, personal records, and benefits documentation.
  • Support HR-related tasks such as tracking PTO, coordinating performance reviews, and handling basic employee inquiries.
