Essential Job Functions
Serves as the primary point of contact for conventions and meetings held in Beaumont and performs a broad range of complex duties associated with servicing conventions and promoting tourism. Responsibilities include preparing and maintaining files and records; coordinating hotel accommodations and transportation arrangements; ordering, maintaining inventory, and the preparation of promotional materials for BCVB services; ensures that the needs of tourists and conventionists are met in a professional & timely manner;
schedules & manages convention registrations; performs a wide range of clerical duties including but not limited to typing, filing and taking notes; organizes and plans special events for conventions and the Beaumont CVB that includes the Annual Hall of Fame & Volunteer Appreciation Luncheon. This position further includes coordinating, recruiting, scheduling, and supervising CVB volunteers along with preparing the monthly volunteer newsletter.
The CSM works closely with the Marketing Manager regarding scheduling of volunteers. This position handles correspondence such as requests for routine information; maintains and distributes a monthly and quarterly convention calendar; prepares various types of recurring and nonrecurring reports and collects all data for conventions & meetings for completion reports; maintains a calendar of appointments, meetings and conferences; may attend meetings for purposes of taking notes;
may receive and process invoices for payment; may give oral presentations to small groups; travels to conventions for the purpose of pre-promotion of events.

This position requires 100% work on-siteNormal office environment; must be available to work Monday through Friday, 8:00 a.m.
- 5:00 p.m. Subject to extended working hours including weekends and holidays when necessary. Requires frequent public contact; must be available to travel as needed.
Knowledge of marketing and public relations techniques; knowledge of dealing with local vendors including printers, specialty advertising representatives, freelance artists, photographers, etc.
Skills/AbilitiesSkill in the use of personal computers including word processing software; creativity a must; excellent oral presentation skills; extensive writing experience; ability to compose letters, reports and correspondence using proper grammar, spelling, punctuation and organization; ability to type accurately; skill in using publishing or graphic design software experience a plus; strong interpersonal and organizational skills; ability to interact effectively with the office staff, other City departments/divisions and representatives of business and government;
self-motivated and detail oriented.
Constantly sees, hears, sits, types, operates a PC and writes by hand; frequently files, sorts, twist body, pushes, pulls, lifts or carries objects weighing up to 25 lbs., stands, walks, operates a calculator, enters data and drives; infrequently kneels, cleans.
Education/ExperienceHigh school graduate supplemented by college courses in marketing;
Bachelor’s Degree in Marketing, Business Administration or related field preferred; must have minimum three (3) years’ experience in tourism, hotel/motel management, marketing or related field.
This position requires 100% work on-site. Applicant selected for hire will be subject to a background investigation and drug/alcohol screen test.
