Job Overview

The Assistant General Manager serves as assistant to the General Manager (GM), reports directly to the GM and acts on behalf of the GM during absences. The Assistant General Manager performs a variety of highly responsible managerial and administrative duties in direct cooperation with the GM in all aspects related to the operation of the Association Office, in support of the Board of Directors and with selected committees.

Compensation

Base pay range: $70,000.00/yr – $80,000.00/yr. Total compensation commensurate with experience, education and specific responsibilities.

Responsibilities
  • Be knowledgeable with all operations of working in an HOA, including governing documents, budgets and board meetings.
  • Maintain confidentiality and support the Board of Directors, homeowners and staff.
  • Act as minutes secretary to the Board of Directors at monthly meetings, prepare and distribute minutes.
  • Support designated committees and act as liaison between committees, board, homeowners and management.
  • Prepare bids, spreadsheets and vendor support material, follow up on documentation.
  • Prepare violation letters and perform community inspections as directed by the GM.
  • Track invoices, code for accounting and comply with accounting processes.
  • Oversee all major mailings and manage gate access control procedures.
  • Verify and approve office supply orders; ensure supplies are replenished.
  • Respond to resident requests, schedule events and log any issues to management.
Maintenance Oversight

Review monthly maintenance reports, evaluate needs for special assignments and recognize maintenance items and janitorial requirements within the community common grounds.

Other Essential Duties
  • Answer telephones professionally and with a smile.
  • Organize workload, set priorities and complete projects with minimum direction.
  • Perform price queries, general errands and interpret rules and policies.
  • Handle sign‑ups for events, classes and excursions.
  • Assist in setting up events, prepare incident reports and evaluate facility neatness.
  • Perform opening and closing procedures and cover mandatory breaks.
Skills & Qualifications
  • Oral and written communication skills, telephone demeanor, listening.
  • Proficiency with Microsoft Word, Excel, Outlook, Adobe PDF and other office software.
  • Ability to read and interpret safety rules, operating instructions and procedure manuals.
  • Mathematical ability to add, subtract, multiply and divide.
  • Reasoning ability to solve practical problems and interpret instructions.
  • Physical requirements:

    lift 25 lbs, sit for extended periods, finger dexterity, mobile within office and venue.
Supervisory Responsibility
  • Supervise on‑site front desk and administrative staff; create monthly employee schedule.
  • Maintain timecard records and stay current with legal personnel requirements.
Tools & Equipment Used
  • Valid California driver’s license including state‑mandated vehicle insurance.
  • General office equipment.
