Overview
The Front Office Supervisor performs a variety of tasks directly related to providing and supporting quality patient care by maintaining successful front office operations of the Matagorda Medical Group. Essential job duties include the scheduling, coverage arrangements, and supervision of the receptionist staff and supporting the Practice Manager with development and implementation of administrative policies and procedures.
Position Responsibilities- Serves as administrative authority for reception staff by supervising and evaluating the front office staff per established clinic protocol.
- Schedules and assigns reception staff and ensures adequate coverage at all times.
- Provides adequate orientation and professional development for new and existing reception staff; determines acceptable timeframe to remediate gaps in necessary knowledge and skill.
- Offers useful development feedback for front office staff; confronts known issues and develops plan with Practice Manager to address and resolve performance issues. Counsels personnel as needed and completes appropriate documentation for employee files.
- Conducts routine surveillance of reception staff to ensure quality patient care, necessary registration documentation, insurance eligibility verification, and overall administrative support.
- Assists reception staff in analyzing and resolving complex problems and case situations per established clinic protocol.
- Supports the Practice Manager with development and implementation of new and existing administrative policies and procedures.
- Orders and obtains needed office supplies and equipment and ensures all items are dispersed accordingly.
- Uses the utmost tact and diplomacy while interacting with patients and staff to ensure excellent patient care and satisfaction. Exercises problem-solving and conflict resolution skills when handling complaints regarding clinical staff and refers to appropriate designated personnel as needed.
- Adheres to confidentiality and privacy guidelines in accordance with all Matagorda Medical Group policies and HIPAA requirements to protect patient’s personal and financial information.
- Maintains good relations with patients, staff, and other departments.
- Other related duties assigned as the job requires.
- Five or more years of relevant outpatient clinic experience preferred.
- Previous staff management preferred.
- Comprehensive knowledge and understanding of patient registration flow in an outpatient clinic setting required.
- Ability to fluently read, write, and speak in English.
- Basic clerical skills such as answering phones, operating office equipment (computer, fax, and copier), and coordinating workflow.
- Ability and willingness to interact with all patients and coworkers in a professional and helpful manner.
- Prolonged, extensive, or considerable standing and walking. Lifting, positioning, pushing and /or transferring patients.
- Considerable reaching, stooping, bending, kneeling, and crouching.
- Lifting and/or moving items to 25 pounds.
- Regularly required to talk and hear.
