We are looking for an Accounting Assistant that will provide office services by implementing administrative systems, procedures, and policies, and monitoring administrative projects.

Administrative Duties
  • Maintains front desk by answering phones, assisting customers and visitors.
  • Data entry and filing
  • Filing of customer order files daily.
  • Responsible for ordering office supplies.
  • Petty Cash Management
Accounts Payable
  • Validating AP invoices with receivers from suppliers.
  • Entry of Accounts Payable Invoices into ERP System.
  • Preparation of Accounts Payable invoices for payment (checks, Euro Payments, Wire Transfers or credit card)
  • Notify Vendors of payment for Euro Payments and Wire Transfer Payments
  • Coding of insurance & utility bills, breaking down by department
  • Process Expense Reports (in support of Sales Team and company travel)
  • Reconciliation of Credit Card statements and ensuring adherence to company spending policies.
  • Reconciling received good reports.
  • Reconcile Federal Express paid by Credit Card.
  • Retrieve UPS and Federal Express bills for entry weekly.
  • Filing all Accounts Payable Invoices.
Accounts Receivable
  • Entry of Cash Receipts for daily deposit, wire transfers and credit card payments.
  • Filing Cash Receipts check stubs.
  • Sending Customer Statements on a Monthly basis.
  • E-mail Invoice to Customer both local & foreign as requested by customers.
  • Contacting customers regarding past-due invoices as necessary
Requirements
  • Associate’s degree in accounting
  • Reporting Skills, Administrative Writing Skills, Managing Processes, Organization, Analyzing Information, Professionalism, Problem Solving, Supply Management, Inventory Control, Verbal Communication
