Position Purpose

The primary function of the Parts Advisor role is to manage the ordering, tracking, distribution, and storage of parts, ensuring the prompt return of damaged or unused parts. Parts Advisor handles customer orders, maintains parts inventory, utilizes the DMS for inventory and recordkeeping, and serves counter customers.

Position Type: Full time, Non-Exempt

Major Tasks, Responsibilities & Key Accountabilities
  • Responsible for ordering parts from preferred vendors, tracking parts for arrival, distribution, storage, and ensuring the prompt return of damaged or unused parts.
  • Handles all customer orders in keeping with company customer satisfaction practice and maintains parts inventory to support all products within APO, along with reviewing the previous month’s sales/profit performance with key stakeholders to determine where improvements can be made to increase profitability.
  • Utilizes DMS for inventory, recordkeeping, parts information, etc.
  • Serves counter customers or acknowledges promptly upon approaching the parts counter.
  • Suggests at least one additional related item to each customer on every call (upsell).
  • Communicates all customer relationship issues to the General Service Manager, including complaints, and obtains all pertinent information before reporting and suggesting a course of action.
  • Enters all parts sales orders promptly and correctly in the computer for printing and shipping. All parts orders are to be completed daily, assisting co-workers as needed.
  • Tracks incomplete order status (outstanding orders, backorders, and credits) and follows up as necessary.
  • Processes parts returns the day received, checks for condition, and ensures they are stocked the same day.
  • Assists with filling Field and Shop Tech part orders. Checks in workorder parts, labels, and distributes immediately upon receipt or stores in an organized manner until the assigned job is ready for the part.
  • Analyzes current inventory and spot-checks to ensure actual inventory coincides with computerized inventory, along with reviewing back orders, etc.
  • Maintains neat lobby display and counter work area to ensure company standards and appearance.
  • Ensures all Dealer Parts targets/goals are met and maintains all KPI information for tracking targets.
  • Inspects all parts for damage, quality, and accuracy; returns and re-orders any damaged or incorrect parts.
  • Complies with all Dealer and OSHA safety rules, guidelines, and standards.
  • Performs other related duties as assigned.

Essential Job Qualifications
  • Prior parts experience a plus.
  • Prior warehouse experience preferred.
  • Prior customer service experience preferred.

  • Ability to read and understand the basics of repair instructions, written estimates, and work orders.
