Key Responsibilities:
- Schedule and confirm patient appointments in coordination with provider availability and geographic zones
- Maintain accurate appointment records and logs in the scheduling software
- Coordinate with intake staff, medical providers, and support teams to ensure smooth patient onboarding and follow-up
- Monitor daily schedules and adjust as needed for cancellations, emergencies, or priority visits
- Provide exceptional customer service to patients, caregivers, and referral sources via phone and email
- Support overall office workflow and assist with other administrative tasks as needed
Requirements:
- Previous experience in healthcare, home health, hospice, or medical office scheduling strongly preferred
- Strong computer skills with the ability to quickly learn and navigate multiple systems
- Proficiency in Microsoft Excel for scheduling, tracking, and reporting (data entry, basic formulas preferred)
- Ability and willingness to learn and effectively use Electronic Medical Record (EMR) systems
- Understanding of home health workflows, provider availability, and patient coordination
- Proactive, self-motivated individual who can work independently and anticipate scheduling needs
- Strong problem-solving and troubleshooting skills, especially with last-minute changes, cancellations, or coverage gaps
- Excellent organizational skills with the ability to manage high-volume schedules and competing priorities
- Clear and professional communication skills when interacting with patients, caregivers, and clinical staff
- Ability to remain flexible and calm in a fast-paced, patient-centered environment
