Overview
Administrative Support Specialist – Keeping Our Clinic Running Smoothly
Responsibilities- Greet guests, vendors, and callers courteously and professionally
- Route referrals to the UR/admissions coordinator in a timely manner
- Review and prioritize incoming mail and materials
- Maintain manuals, records, correspondence, and organized filing systems
- Monitor and maintain office supplies, equipment, and materials
- Maintain performance standards for billing processes
- Verify accuracy of billables submitted by clinicians
- Submit billing accurately and on schedule
- Maintain organized, accurate billing records
- Greet patients upon arrival and manage sign-in/sign-out procedures
- Complete admission paperwork upon intake and monthly thereafter
- Communicate special patient needs to appropriate staff
- Ensure HIM receives patient documentation and records
- Forward discharged charts to HIM following established procedures
- Serve as liaison between the clinic and contracted transportation providers
- Schedule patients appropriately for new and ongoing appointments
- Ensure accuracy of patient information and schedules provided to transportation services
- Communicate daily schedule changes promptly and accurately
- Perform other duties as assigned to support departmental success
- Strong administrative professional with experience supporting clinic or healthcare operations
- Knowledge of office procedures, administrative workflows, and the use of standard office equipment
- Proficiency with computer software including word processing, spreadsheets, databases, and presentation tools
- Ability to multitask, prioritize, and maintain accuracy in a fast-paced environment
- Excellent customer service, communication, and organizational skills
- Certified Medical Assistant required
- Prior experience with billing or patient scheduling is preferred
- Post-high-school vocational or specialized training preferred
