Overview

Job Title: Epic Ancillary Applications Manager – Enterprise Implementation

Department: Information Technology / Clinical Informatics

Reports To: Epic Program Director

Position Summary

The Epic Project Manager is responsible for planning, coordinating, and executing the enterprise-wide implementation of the Epic Electronic Health Record (EHR). This role provides overall project leadership to ensure successful delivery of Epic modules on time, within scope, and within budget while aligning clinical, operational, and technical stakeholders.

The Project Manager will serve as the primary liaison between hospital leadership, clinical departments, IT teams, Epic consultants, and external vendors to ensure a smooth transition to Epic and long-term operational success.

Responsibilities Project Leadership & Governance
  • Lead the end-to-end Epic implementation lifecycle, including planning, design, build, testing, training, go-live, and stabilization.
  • Develop and maintain detailed project plans, timelines, milestones, and dependencies for multiple Epic modules.
  • Ensure adherence to Epic implementation methodologies and organizational standards.
Stakeholder & Team Management
  • Coordinate cross-functional teams including clinical leaders, revenue cycle, IT analysts, trainers, and Epic-certified consultants.
  • Facilitate effective communication among physicians, nursing, ancillary departments, and executive leadership.
  • Manage vendor relationships, including Epic, third-party consultants, and integration partners.
  • Escalate risks, issues, and decisions appropriately to executive leadership.
Scope, Budget & Risk Management
  • Define and control project scope, preventing scope creep while accommodating necessary clinical and operational needs.
  • Identify, assess, and mitigate project risks; participate in developing contingency and mitigation plans.
  • Ensure compliance with regulatory, security, and organizational requirements.
Workflow & Change Management
  • Partner with clinical and operational leaders to redesign workflows and align them with Epic best practices.
  • Support change management initiatives, including communication plans, training readiness, and adoption strategies.
  • Ensure end-user readiness through coordinated training, testing, and go-live support plans.
Testing, Go-Live & Stabilization
  • Oversee integrated testing, user acceptance testing (UAT), and go-live readiness assessments.
  • Coordinate go-live activities, command center operations, and issue resolution.
  • Lead post-go-live stabilization efforts, including optimization planning and lessons learned.
Required Qualifications
  • Bachelor's degree in healthcare, Healthcare Administration, Information Systems, Business, or related field (or equivalent experience).
  • Demonstrated experience managing large-scale EHR or Epic implementations in acute care hospital settings.
  • Strong understanding of hospital clinical and operational workflows.
  • Proven ability to manage complex, multi-year, multi-module enterprise projects.
  • Excellent communication, leadership, and organizational skills.
Preferred Qualifications
  • Epic certification(s) or prior Epic implementation leadership experience.
  • Project Management Professional (PMP), PMI-ACP, or similar certification.
  • Experience implementing Epic in a large hospital (400+ beds) or multi-facility health system.
  • Experience with revenue cycle, inpatient, ambulatory, or ancillary Epic modules.
  • Familiarity with healthcare regulatory requirements (HIPAA, CMS, Joint Commission).
