Position Overview

The Proposal Coordinator supports the company’s business development and contract acquisition efforts by managing the production, organization, and submission of 200+ proposals annually to obtain emergency debris removal and disaster response contracts. This role ensures proposals are accurate, compliant, and submitted timely while maintaining department organization and providing administrative support to the Senior Proposal Writer and executive team. The Proposal Coordinator is an essential contributor to the company’s growth and success in securing federal, state, and local contracts.

Key Responsibilities
  • Assist with full proposal lifecycle: document preparation, data organization, proposal formatting, copying, binding, labeling, packaging, and shipping (including Fed Ex coordination).
  • Read bid documents with an emphasis on proposal requirements and coordinate with subcontractors, partners, and government entities for clarifications.
  • Organize proposal in accordance with required format and make appropriate edits throughout the draft process
  • Request required data/ technical information and organize the receipt and timeliness of data responses
  • Learn bid procedures, create organizational tools and help make processes to confidently prepare proposal submittals
  • Support pre-bid meeting preparations, questions submission, and compliance reviews.
  • Maintain uniformity in SharePoint file system for bids/proposals department
  • Maintain company bid site registrations and logins
  • Work with proposal leadership to continuously refine submission strategies and improve department efficiency
Required Skills
  • Highly organized and detail-oriented with ability to manage multiple deadlines
  • Proficiency in Microsoft Office Suite and Adobe Acrobat
  • Strong written and verbal communication skills
  • Process driven team player with a positive, professional attitude
Preferred Skills
  • Editing and proofreading skills
  • Experience with procurement, government contracting, or bid preparation
  • Knowledge of disaster response, debris removal, or construction industry
  • Experience working with In Design
