Overview
The Division of Administration/Office of General Counsel (OGC) has a vacancy. The OGC provides professional legal services to the Division and collaborates with legal representatives of other agencies as needed. The Division of Administration serves as the state government’s management arm and hub of financial operations, providing guidance across capital construction, grants, budgeting, technology services, and purchasing support.
Key Responsibilities- COMPLEX LITIGATION SUPPORT: summarize legal documents and perform legal research; manage complex litigation, administrative appeals, mediation/arbitration in areas such as Construction Law, Public Bid Law, Public Works Act, Cooperative Endeavor Agreements, group health claims (HIPAA), public records law, and legislative processes; draft and review legal documents; e-file; support case management and trial preparation; use research tools (e.g., Westlaw/Lexis Nexis).
- PUBLIC RECORDS REVIEW SUPPORT: review public records forwarded to OGC, ensure responsiveness to PRRs, and apply red actions to protect exempt or confidential information.
- PAYROLL/PERSONNEL LIAISON: collect and report staff attendance and reconcile generated reports; assist with payroll and leave matters.
- SAFETY/SECURITY: conduct safety meetings, uphold DOA safety policies, serve as Floor Warden, and manage emergency protocols.
- 1678 and 1672.2 SUPPORT: prepare documents for signature, track and disseminate documents, and coordinate with the Attorney General’s office as needed.
- DOCUMENT MANAGEMENT: assist with opening/organizing files and support scanning, copying, mailing, and emailing tasks.
- MAIL OPERATIONS: manage OGC mail operations, logging, distributing mail, preparing correspondence, and handling postage and courier services; process checks as applicable.
- OGC RECORDS COORDINATOR: manage the OGC file room and file organization.
- SUPPLY INVENTORY MANAGEMENT: inventory and maintain supplies; notify purchaser when stock is low.
- INVENTORY/PROPERTY CONTROL: oversee property control for OGC.
- LAW LIBRARY MAINTENANCE: maintain the OGC Law Library.
- CONFERENCE ROOM MAINTENANCE: maintain conference room, ensure teleconferencing functionality and room readiness.
- CALENDAR MAINTENANCE: maintain OGC and Conference Room calendars in Outlook to coordinate staff and meetings.
- GARNISHMENT PROGRAM BACKUP: assist with garnishment matters for employees paid via OSUP system.
- OTHER DUTIES: perform additional duties as assigned by General Counsel or Deputy General Counsel and supported attorneys.
- Appointment Type: Vacancy filled by new hire or promotion of a current permanent employee.
- Career Progression: May be filled from this recruitment as Paralegal 1 or Paralegal 2.
- Compensation: Special Entrance Rate (SER) applies. Paralegal 1 SER: $1,544.80 biweekly;
Paralegal 2 SER: $1,768.00 biweekly.
