The Batavia Park District was established in 1969 through a voter referendum. Since its establishment, the Park District maintains and operates approximately 400 acres, comprised of 40 sites, a skate park with pump track, a unique aquatic facility, a museum and a multitude of baseball and soccer fields and tennis and basketball courts. The Park District offers nearly 2,000 programs each year and serves roughly 95,000 participants through various recreational, arts, and environmental programs.

As the key leadership team coordinator for the Executive Director and Park Board of Commissioners, the Executive Assistant maintains confidentiality and professionalism, representing the voice of the Executive Director to employees and supervisors alike. The Executive Assistant assumes daily responsibility for a wide variety of administrative functions related to the smooth operation of the Executive Director's office.
Essential Functions- Prepare and distribute minutes for Park Board Meetings, staff meetings and Leadership Team meetings.
- Serve as an Open Meetings Act Officer, Freedom of Information Act Officer, and Notary for the District.
- Handle confidential documents and correspondence.
- Manage special projects as assigned by the Executive Director, including managing the Distinguished Accreditation Agency Program.
- Prepare, coordinate and post documents related to the Park Board of Commissioners.
- Oversee the District's records retention system.
- Update and maintain the District's ordinances, resolutions and policy manuals.
- Maintain the Executive Director's calendar and coordinate meetings, appointments, travel and conference registration.
- Manage the Park District's association memberships.
- Perform administrative and routine tasks.
This position requires an Associate's degree and at least three years of experience as an administrative professional. A Bachelor's degree is preferred. We are seeking a well-organized and detail oriented individual with strong written and verbal communication skills. In this role, you will be required to work days, occasional evenings, occasional weekends, and certain holidays, along with participation in activities and events.
This is a non‑exempt, benefits‑eligible full‑time position.
