The Manager – Document Control will play a key role in supporting the daily operations of the flavour lab. This role is responsible for coordinating sample delivery, managing product / project documentation, maintaining lab inventory, and ensuring smooth laboratory operations. The position requires close collaboration with flavourists, project managers, factories and cross-functional teams to ensure timely execution of flavour creation and product development activities.
ResponsibilitiesFlavour Project Related
- Work closely with Flavorists and oversee planning and coordination of lab samples & formulations to ensure on time and on quality delivery of prototypes.
- Manage and maintain product development and project management related system / documentation to ensure accuracy, version control, and accessibility.
- Track and follow up on project timelines, deliverables, and documentation flow across cross-functional teams.
- Support project meetings by preparing document summaries, tracking action items, and ensuring timely communication.
- Implement document control systems and ensure compliance with internal standards and audit requirements.
- Contribute to the continuous improvement of document control workflows and digital tools.
- Any Ad-hoc initiatives and duties assigned from time to time by the management team.
- Manage raw material inventory, coordinate stock replenishment, and ensure proper storage and documentation.
- Draft, update, and maintain Standard Operating Procedures (SOPs) for lab activities and sample workflows.
- Collaborate closely with team for ongoing sourcing and procurement of specific equipment, consumables, and chemicals.
- Ensure timely maintenance and preventive maintenance of all laboratory equipment to ensure that it is in good condition.
- Provide support for audits or internal reviews involving lab operations or documentation.
- Facilitate the application of licenses and liaise with the relevant authorities for license/permit issues relating to safety.
- Enhance the existing laboratory process and make recommendations for improvement.
- Minimum 5 years of relevant experience in product development, document control, laboratory activities, project management, with exposure to technical/R&D environments is a plus.
- Strong knowledge on chemical management, CAS number, safety data sheets.
- Knowledge in quality standards/regulatory requirements will be added advantage.
- Able to multi-task, meet deadlines with demonstrated ability to drive improvement
- Demonstrated strong ability to lead and drive meeting / discussion, communicate issues and resolve conflicts within cross functional teams
- Good sense of prioritization and agile in managing changes
- Good planning and organization skills with strong analytical and problem-solving skills
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); familiarity with document management systems (e.g., SharePoint, SAP DMS) is a plus.
