The right candidate will need to be a bright and welcoming character to act as first point of contact for employees, visitors and potential clients. The suitable candidate must be presentable, have great people skills and be friendly and polite.
Key Responsibilities- Operate a switchboard in a warm, confident and happy manner.
- Greet all visitors promptly, complete all related security procedures and offer appropriate services to ensure a pleasant visit.
- Monitor and respond to the information inbox and liaise with colleagues as appropriate to ensure replies are sent in a timely manner.
- Assist with the collation and circulation of brochures, other publications, marketing material and events.
- Manage incoming deliveries of mail and supplies and arrange collection by traders and staff.
- Act as the initial point of contact for traders and contractors who visit the office in person.
- Take messages, direct calls and provide information as appropriate.
- Escort guests to appropriate meeting rooms when requested.
- Assist other departments with ad‑hoc tasks including post, photocopying, document collation, typing, laminating, booking of meeting rooms and providing refreshments.
- Perform general branch administration tasks as required.
- Create purchase order numbers.
- Assist in facilities management, booking/scheduling building maintenance work and fire alarm testing.
- Arrange courier collections.
Additional duties may be assigned as necessary to support the business.
Person Specification Essential Skills- Minimum three years reception experience in a busy, customer‑focused service role.
- Good basic education with GCSEs (or equivalent) including English and Maths.
- Courteous telephone manner and ability to reply promptly to email enquiries.
- Multi‑tasker who can work well under pressure and uses initiative.
- Good Microsoft Office skills.
- RSA Stage 2 Word Processing or NVQ 2 in Business Administration (or equivalent).
- RSA Stage 3 Word Processing or NVQ 3 in Business Administration (or equivalent).
Monday to Thursday – 09:00am to 17:30pm with 1‑hour lunch break.
Friday – 09:00am to 17:00pm with 1‑hour lunch break.
25 days holiday plus Bank Holidays.
