We are seeking a highly organized and dependable Administrative Assistant/Receptionist to support daily office operations and provide administrative assistance across multiple departments. This role serves as primary backup to the Administrative Assistant and offers direct support to executive leadership, HR, IT, Facilities, and Finance. The ideal candidate is detail-oriented, professional, and thrives in a fast-paced, team-based environment.
Key Responsibilities- Provide primary backup coverage for the Administrative Assistant, including front desk operations, greeting visitors, answering and routing phone calls, scheduling clients, and handling mail.
- Support Executive and Administrative staff with clerical duties, recordkeeping, filing, data entry, recruitment support, and maintaining job postings on social media and online job boards.
- Assist leadership with correspondence, reports, policies, procedures, and confidential personnel-related documentation.
- Provide support for Board, Committee, and Agency meetings, including scheduling, taking meeting minutes, securing meeting space, and coordinating catering and materials.
- Process monthly invoices (telephone, cell phone, copier), monitor usage, and track postage and copier reporting.
- Handle daily cash receipts processing and prepare monthly reports for the Finance Department.
- Assist with planning agency meetings and events, including logistics and supplies.
- Provide backup support for telecommunications systems (hosted PBX and agency cell phones) and assist with basic troubleshooting.
- Assist with Requests for Proposals (RFPs) and vendor evaluations in accordance with procurement procedures.
- Participate in ongoing training and professional development opportunities.
- Maintain a professional, safe, and organized work environment.
- Perform other duties as assigned.
