Associate/Assistant Dean (Academics)

Position Overview
The Associate/Assistant Dean – Academics supports the Dean – Academics in the planning, coordination, implementation, and monitoring of academic operations across departments. The role focuses on ensuring smooth academic administration, regulatory compliance, academic quality monitoring, and effective coordination among departments.
The position acts as a bridge between department heads and central academic administration, ensuring that institutional academic policies are implemented efficiently and consistently.

Roles and Responsibilities
A. Academic Coordination & Implementation
Assist the Dean in implementing academic strategies, policies, and institutional guidelines.
Coordinate with Heads of Departments (HoDs) to ensure timely execution of academic plans.
Monitor adherence to academic calendars and semester timelines.
Support in aligning departmental academic plans with institutional objectives.

B. Curriculum Administration & Documentation
Facilitate preparation and review of curriculum documents, course files, and lesson plans.
Ensure proper documentation of syllabus revisions and Board of Studies recommendations.
Monitor implementation of Outcome-Based Education (OBE) practices at department level.
Maintain academic records and standardized templates for institutional use.

C. Academic Quality Monitoring
Assist in conducting internal academic audits and compliance reviews.
Support IQAC in documentation and evidence collection for accreditation.
Track department-wise syllabus completion and academic progress.
Prepare periodic academic performance reports for review by Dean and senior management.

D. Examination & Evaluation Support
Coordinate with Examination Cell to ensure timely conduct of examinations.
Monitor internal assessment processes and compliance with evaluation norms.
Support result analysis and preparation of academic performance reports.
Assist in handling academic grievances related to evaluation processes.

E. Faculty Coordination & Support
Assist in planning Faculty Development Programs (FDPs) and internal academic workshops.
Monitor faculty workload distribution and teaching schedules.
Support faculty onboarding with academic orientation and documentation processes.
Facilitate communication between academic leadership and faculty members.

F. Student Academic Monitoring
Monitor student attendance, progression, and academic performance trends.
Assist in coordinating student mentoring systems.
Support implementation of academic intervention plans for underperforming students.
Address student academic concerns in coordination with HoDs and Dean.

G. Regulatory & Accreditation Compliance
Support preparation and submission of regulatory reports (UGC, AICTE, NAAC, NBA, etc.).
Ensure maintenance of academic documentation required for inspections and audits.
Coordinate data compilation for AISHE, NIRF, and statutory reporting.
Monitor departmental compliance with institutional academic policies.

H. Academic Data Management & Reporting
Maintain centralized academic databases and MIS reports.
Prepare dashboards on academic performance indicators.
Track KPIs such as pass percentage, result trends, and student retention.
Ensure data accuracy and consistency in academic reporting systems.

Qualifications & Experience
Ph.D. or Master’s degree in relevant discipline (as per institutional norms).
Minimum 8–12 years of teaching experience in higher education.
Prior experience in academic coordination, HoD, or equivalent leadership role preferred.
Familiarity with accreditation and regulatory processes desirable.
Required Competencies
Strong organizational and coordination skills.
Knowledge of academic governance and documentation systems.
Ability to manage multiple departments and stakeholders.
Strong analytical and reporting skills.
Effective written and verbal communication.
Proficiency in academic ERP and MIS systems.
