Job Summary:
The Executive Assistant will provide high-level administrative support to the CEO, ensuring efficient operation of the executive office. The EA will manage schedules, coordinate meetings, handle correspondence, and perform various administrative tasks to enable the executive team to function efficiently. The role also involves employee engagement and event management, taking minutes of meetings (MOM), and following up on action items.
Key Responsibilities:
● Calendar Management:
Manage and maintain executive schedules, including calendar management, meeting coordination, and travel arrangements.
● Administrative Tasks:
Prepare, review, and manage correspondence, reports, and presentations. Perform general administrative duties such as filing, photocopying, and ordering office supplies.
● Employee Engagement and Event Management:
Coordinate and organize company events and activities to promote employee engagement.
● Minutes of Meetings (MOM) and Follow-up:
Take down minutes of meetings and follow up on action items with relevant stakeholders to ensure timely completion.
● Act as a liaison between the executive(s) and internal/external stakeholders.
● Coordinate and organize meetings, including preparing agendas, materials, and meeting minutes.
● Assist in the preparation of budgets, expense reports, and other financial documents.
● Conduct research, compile data, and prepare reports for consideration by executives.
● Manage and prioritize multiple tasks and projects with attention to detail and accuracy.
● Screen and direct phone calls, emails, and other communications.
Qualifications:
● (Mandatory) 3-4 years of experience as an Executive Assistant. Preferably in a fast-paced start-up or Tier-1 consulting firms, Private Equity or Venture Capital.
● Bachelor's degree in Business Administration or Commerce.
● Proficiency in MS Office (Word, Excel, PowerPoint) and Canva

● High level of professionalism and discretion in handling sensitive information.
