Role

Summary:

The Facilities Management and Administrative Specialist will oversee day-to-day facilities operations, workplace safety, vendor management, and administrative functions to support Zluri’s growing team. The ideal candidate will bring expertise in creating a conducive work environment while optimizing resources and ensuring compliance with organizational standards.

Key Responsibilities:

Facilities Management
Manage and maintain office infrastructure, equipment, and utilities to ensure uninterrupted operations.
Oversee space planning and seating arrangements as needed.
Implement and maintain workplace safety standards, including emergency preparedness and compliance with local regulations.
Maintain and update records related to leases, contracts, and compliance requirements.
Ensure cleanliness, upkeep, and maintenance of office premises by coordinating with housekeeping and facility teams. Oversee front-desk operations and reception staff.

Vendor and Procurement Management
Identify, negotiate, and manage relationships with vendors for office supplies, maintenance services, and other facility needs.
Manage procurement of office supplies, IT equipment, and other resources while optimizing costs.
Regularly evaluate vendor performance and ensure service quality.
Monitor administrative budgets and ensure efficient allocation of resources.

Travel Desk Management
Manage travel arrangements (domestic and international) and accommodations for employees and visitors.
Manage end-to-end domestic and international travel for employees, leadership, and visitors.
Handle flight bookings, hotels, visas, reimbursements, and last-minute changes or emergencies.

Employee Experience
Create a welcoming and efficient work environment that fosters productivity and employee satisfaction.
Act as a point of contact for employees regarding facilities-related queries or issues.
Plan and execute office events, team activities, and engagement initiatives in collaboration with the HR department.

Reporting and Compliance
Maintain accurate records of facility operations, expenses, and compliance documentation.
Prepare and present periodic reports on facilities and administrative activities to the management team.

Qualification and Experience

Education:

Bachelor’s degree in Business Administration, Facilities Management, or a related field.

Experience:

4-8 years of experience handling  facilities management, procurement, and travel desk operations
Prior experience in a  startup, SaaS, or fast-growing organization  is strongly preferred.

Key

Strong organizational and multitasking abilities.
Excellent negotiation and vendor management skills.
Proficiency in office management software and tools
Knowledge of local building codes, safety regulations, and compliance standards.
Exceptional communication and interpersonal skills.
Budget management and cost control expertise.

Certifications:

Preferred certifications include Facility Management Professional (FMP), Certified Facility Manager (CFM), or equivalent.
