Location: Bengaluru
We are looking for a Project Coordinator with strong experience in interior execution to support and coordinate multiple retail and commercial projects. This role is critical in ensuring smooth coordination between clients, site teams, procurement, vendors and finance while maintaining complete documentation and project control.
Key Responsibilities
1. Pre-Execution & Documentation
- Receive design drawings, BOQs and scope details from clients/designers.
- Prepare or verify BOQs cost sheets and quotations.
- Track design revisions and scope changes and ensure updates are circulated to all stakeholders.
- Maintain project-wise folders (drawings, BOQs, POs, approvals, emails).
2. Client & Internal Coordination
- Act as single point of contact for key clients.
- Coordinate between:
- Project Managers / Project Executives
- Procurement team
- Finance & billing team
- Vendors & subcontractors
- Ensure all approvals are documented via email/messages (no verbal approvals).
3. Procurement & Vendor Coordination
- Share approved BOQs with procurement.
- Track material orders, delivery schedules, and shortages.
- Coordinate vendor settlements post project completion.
- Ensure rate comparisons are prepared when required.
4. Project Tracking & Reporting
- Assist in preparing project schedules / Gantt charts.
- Track daily & weekly progress updates from sites.
- Highlight Delays
- Cost overruns
- Pending approvals
- Scope mismatches
- Prepare management update reports.
5. Billing & Financial Coordination
- Coordinate running bills & final bills with site teams.
- Cross-check bills with BOQ and approved rates.
- Ensure all required documents are available before billing.
- Coordinate with finance for payment follow-ups.
6. Handover & Closure
- Track snag list closure in coordination with Quality & Site teams.
- Ensure completion documentation is in place.
- Assist in project handover & closure formalities.
Skills & Requirements
- 3–6 years experience in interior execution / contracting
- Strong understanding of BOQs
- Drawings (AutoCAD – reading & basic modifications)
- Interior execution workflows
- Excellent communication skills
- Highly organized and detail-oriented and proactive
- Ability to manage multiple projects simultaneously
- Comfortable working with retail brands and mall projects
