Job Description:
Coppin State University, a fully accredited institution and a member of the University System of Maryland, is accepting applications for a Business Manager for the Division of Academic Affairs. Founded in 1900, Coppin is an urban, residential, historically black university offering 32 undergraduate majors, 14 graduate majors, and 15 certificate programs and 1 doctoral program; nearly 3,000 students are enrolled in day, evening, on-line, and weekend undergraduate and graduate courses.
The Division of Academic Affairs includes the Office of the Provost, four colleges – the College of Business, the College of Arts & Sciences and Education, the College of Health Professions, and the College of Behavioral and Social Sciences. The Honors College, the College of Graduate Studies, the Office of Grants, Research and Sponsored Programs, Institutional Planning and Assessment and the Parlett L.
Moore Library are also apart of Academic Affairs.
This position is responsible for managing business operations for the Division of Academic Affairs including finance and budget, purchasing and procurement, and liaising with human resources regarding academic appointments. This key operational role has oversight of the division’s budgets, fiscal planning, purchase orders, vendor payment processing, sponsored research accounts, Title III budget management and reporting, etc. This position reports to the Provost and Vice President for Academic Affairs.
Responsibilities- The daily responsibilities are performed in collaboration with the Provost.
- Oversees the daily business operations of the Division of Academic Affairs, ensuring that all business and financial procedures of the division are in full compliance with university, state and federal guidelines.
- Managed all financially related business matters related to accounting, budgeting, financial management, contracts, hiring, etc. for the division.
- Manage human resources activities (FTE tracking) and coordinate personnel-related matters with the Office of Human Resources.
- Manage the creation, maintenance, and reconciliation of accounts using Workday.
- Ensure implementation of internal control policies and procedures as required to support cash/revenue collection, account requirements, and financial reporting.
- Provide reports for all departmental accounts to the Provost.
- Assist the Provost with the preparation of the annual departmental budget.
- Serve as liaison with the University Controller’s Office and meets regularly to discuss current business and accounting issues and ensures an open line of communication and effective institutional oversight of business practices.
- Analyze areas of expenditures and revenues, identify problem areas and recommend changes.
- Provide advice and assistance on adherence to budget and financial management procedures.
- Evaluate effectiveness of office operations; implements approved policies and procedures.
- Works to identify, implement and track cost saving opportunities focusing on operational improvement.
- Coordinate annual, internal audits, etc., and assist auditors with their examination of departmental records.
EDUCATION
- Bachelor’s degree in Accounting, Business, Finance, Management, or financial management discipline required.
EXPERIENCE
- Five (5) or more years of experience in a combination of budget management, grant administration, accounting, purchasing and staff management is required.
- Minimum of one year of experience with Workday preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
- Working knowledge of general accounting principles and practices.
- Knowledge of business processes, policies, and nomenclature of the academy.
- Ability to interpret and apply policies, procedures, regulations, and laws.
- Thorough knowledge of and skill in the use of Microsoft office (word processing, database, and spreadsheet software) to produce documents and maintain information.
