Overview
Under limited supervision of the IT Application Manager, the Application Coordinator/Analyst II is responsible for achieving in-depth knowledge of software and serving as a bridge between end user operations and the Epic team. Reporting to a GBMC Application Manager for Epic applications, the role reviews Epic software, analyzes business operations and workflows, builds the system to be efficient and meet end users’ needs, tests to ensure requirements are met, adheres to change control procedures, and designs, develops and coordinates materials and training environments for Epic system education.
In addition, the Application Coordinator/Analyst II develops and implements internal procedures for vendor third-party applications; acts as application and project lead during system implementations; troubleshoots problems or questions from users and resolves helpdesk tickets. Participation in on-call rotation is required. Performs other duties as assigned.
Responsibilities- Lead efforts to analyze workflows and data, test Epic configurations, and ensure system builds meet business and user requirements.
- Develop and coordinate procedures for system changes in conjunction with vendor third-party applications.
- Serve as an application and project lead during all phases of system implementations.
- Troubleshoot user issues and manage helpdesk tickets; participate in on-call support as assigned.
- Demonstrate ability to devise benchmarking metrics to assess system performance; demonstrate attention to detail in data gathering, specification development, and documentation.
- Support ongoing system improvements and align solutions with clinical or business operations.
- Baccalaureate degree or health-related field preferred; related certifications or experience may substitute for formal education on a two years-for-one year basis.
- Registered Nurse or Pharmacist license preferred for clinical analyst applications; equivalent combination of education and experience may be considered.
- One-year operational experience in clinical/healthcare operations or IT; one-year Epic analyst experience; moderate understanding of clinical or healthcare workflows.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint, One Note, etc.).
- Strong organizational skills and ability to manage multiple priorities; capable of leading meetings and tracking projects.
- Analytical skills with ability to gather data, design solutions to meet user needs, and support with limited technical staff.
- Provide Tier 1–3 end-user support; escalate issues and risks appropriately.
- Experience implementing clinical or healthcare information systems in a large, complex organization.
- Epic certification in the module(s) being represented.
- Knowledge of current healthcare environment; experience developing workflows for the assigned module.
- Must complete and pass certification in assigned Epic module(s) within 120 days of employment.
- Knowledge and understanding of patient and workforce safety as it relates to job duties.
- Demonstrates competency in delivery of care and applies knowledge to meet age-specific needs if applicable.
- Lead meetings, prioritize tasks, resolve conflicts, maintain issues lists, and manage project plans.
- Probe for information about underlying organizational needs to influence system design.
- Maintain communication with Epic representatives; document appropriately in Nova Notes.
- Collaborate with Epic representatives and business users to ensure system meets needs.
- Analyze workflows, data collection, reports, and technical issues related to Epic software.
- Recommend efficiencies and functional improvements to support patient care and operations.
- Analyze business operations for build decisions; prioritize and implement changes.
- Assess new functionality impact and escalate negative impacts when needed.
