Position: Patient Service Coordinator/Medical Assistant (Otolaryngology)

Overview

Patient Service Coordinator/Medical Assistant (Otolaryngology) — Responsible for directing patient flow and supporting clinic operations to ensure timely room placement, check-in/check-out, and coordination of appointments and services. The role includes cross coverage for the full-time MA and PSC (registration) and may involve telemedicine triage as needed.

Responsibilities
  • Direct patient flow to support smooth clinic operation, monitor volume of patients registering, ensuring patients are placed in rooms on time and process their check-out.
  • Provide cross coverage for the full-time Medical Assistant (MA) and PSC (registration).
  • Perform patient check-in/check-out when needed.
  • Contact patients to reschedule appointments, deliver excellent customer service, and coordinate rescheduled appointments with clinic operations.
  • Assist in managing the clinic s scheduling system to identify open slots, resolve scheduling conflicts, and update patient records accurately.
  • Verify and enter pre-registration and insurance information into the computer system; prepare daily printed schedules for designated areas.
  • Obtain and/or verify patients  demographic data by phone or in person.
  • Obtain pre-certifications as required by patients  health care insurers or managed care providers.
  • Proficient in verifying insurance benefits, processing authorizations, and addressing inquiries regarding insurance payer requirements.
  • Register patients for clinical appointments using the Electronic Medical Records (EMR) system.
  • Assist patients or family members with completion of medical insurance forms.
  • Inform patients of costs or care being provided and guide them to appropriate resources for further information or assistance.
  • Arrange or assist in arranging patient transportation and answer phones to provide routine information to callers.
  • Collect time-of-service payments, issue receipts, and prepare cash settlement records; enter patient charges into the computer system.
  • Discuss patient charges, as appropriate, with patients and/or their families.
  • Evaluate eligibility for alternative financing sources such as Medicaid, Patient Care Funds, loans, or other payment sources.
  • Assist with other duties as assigned.
Medical Assistant Responsibilities
  • Obtain and record patient vitals: temperature, pulse, respirations, blood pressure, weight, and height.
  • Assist patients to exam rooms and prepare them for examination and/or diagnostic procedures.
  • Prepare examination or treatment areas before, during, and after patient use.
  • May assist with medical records preparation.
  • Maintain aseptic technique and infection control when performing clinical tasks.
  • Operate clinical equipment as directed by a physician.
  • May perform phlebotomy functions when necessary based on scheduled procedures.
  • Follow protocols for cleaning, disinfecting, and sterilizing endoscopic equipment; reprocess to ensure infection control standards.
  • Operate sterilization equipment and maintain documentation of reprocessing steps.
  • Maintain sterilization cycles and instrument inspections; troubleshoot sterilization equipment as needed.
  • Collect and process specimens according to SOPs and patient population needs.
  • Recognize emergencies and administer first aid, including CPR, per clinic guidelines.
  • Order, stock, and maintain exam rooms with standard supplies.
  • Assist patients with transfers and use proper body mechanics and safety measures.
  • Receive, sort, and transport used instruments; perform decontamination procedures.
  • Inspect instruments for cleanliness and functionality; report issues per protocol.
  • Assemble and package instrument trays according to count sheets and clinical use.
  • Operate and monitor sterilization equipment (e.g., steam autoclaves) per manufacturer guidelines and facility protocols.
  • May perform related tasks such as prescription refills, messages, and clinical errands.
  • Ensure proper disposal of soiled linens and infectious waste following infection control guidelines.
  • Independently resolve issues with daily room assignments and clinic flow; involve clinic manager if needed.
  • Telemedicine triage as needed.
