Primary Care Clinic Lab Coordinator (Student Health & Well-Being)

Student Health & Well-Being Primary Care (SHWB PC) is recruiting a Primary Care Clinic Lab Coordinator to work 5 days a week (40 hours per week) across the three primary care clinics on the Homewood, East Baltimore, and Washington D.C. campuses. The position reports directly to the Associate Directors of Primary Care at each site, with shared supervision. The coordinator works collaboratively with medical assistants at each site and provides backup coverage when needed.

Responsibilities include:

  • Adhere to standard precautions and assure optimal laboratory safety and compliance within SHWB PC laboratories and clinics. Update the clinic staff on any changes to optimize safety.
  • Monitor appropriate quality control of all lab functions. Investigate and resolve any laboratory issues.
  • Maintain a system to report and track normal and abnormal laboratory results and distribute to clinicians. Maintain a system for clinicians to access all laboratory records and results.
  • Track specimens and results routinely and ensure results are received in a timely and accurate manner.
  • Monitor HL7 Messages from Quest, Beaker, Radiant, and MD and DC State Immunization Registries in Point and Click. Troubleshoot interfaces and resolve any transport errors, sometimes with support from the EHR vendor.
  • Monitor specific abnormal screening results, including titers, IGRA, PAP cytology, breast imaging, and CRC, to ensure these are documented for tracking in Health Maintenance.
  • Monitor specific abnormal chronic disease results, including Hemoglobin A1C, HIV VL, CD4 count, microalbumin, etc., to ensure these are documented for tracking in Disease Management.
  • Monitor appropriate specimen collection, drawing, labeling, processing, and storing of tests. Monitor test requisitions and test reporting; specimen storage; and specimens sent out to ensure specimen validity and the accuracy of results.
  • Conduct validation studies for any new procedures, tests, and equipment.
  • Update, document, and inform clinicians of any changes in specimen collection, lab procedures, and tests resulting from in-house and outside reference laboratories.
  • Schedule equipment and instrument service maintenance and repair for all three clinics. Maintain and conduct internal quality assurance (QA) on instruments and equipment in accordance with the manufacturer's recommendations.
  • Document and retain all records for service, maintenance, and quality assurance.
  • Serve as the primary point of contact with Stanley Monitoring for vaccine fridge/freezer and specimen remote monitoring.
  • Serve as primary point of contact with clinical engineering, oxygen, liquid nitrogen, EOC, and supply vendors.
  • Submit CLIA applications for new testing and/or renewals. Troubleshoot and document laboratory and clinic equipment when malfunctioning in accordance with technical service and/or manufacturer’s recommendations.
  • Update any changes with laboratory test kits, procedures, and quality control (QC) in accordance with the manufacturer’s recommendation.
  • Update procedures in Laboratory Procedure Manual. Update and revise Quality Control Logs for the Laboratory, eyewash stations, and shower drains. Monitor that appropriate documentation is completed across sites.
  • Investigate any laboratory-related issues specific to test results, assays, sample integrity, controls, general policies, procedures, or discrepancies.
  • Monitor communicable disease reports and ensure Triage Nurses and/or providers have submitted documentation to the Health Department.
  • Provide patients with laboratory specimen collection and information as needed. Develop patient collection education/information.
  • Maintain inventory utilizing EHR Inventory Program:
    With the assistance of clinic medical assistants, track, order, rotate, and stock laboratory tests and clinic supplies in all three locations.
  • Other duties as assigned.
