Development and Alumni Relations (DAR) supports Johns Hopkins' focus on research, teaching and patient care, and its role as a national and global leader in higher education. DAR builds and nurtures relationships that lead to advocacy and philanthropic support for Johns Hopkins University & Medicine, strengthening the institution through partnerships with donors, alumni, volunteer leaders, faculty, students, staff, and patients.
Work ModelJohns Hopkins University supports a flexible work model with four modalities. This position is hybrid, requiring onsite presence three days per week. The manager confirms core onsite days for the team.
Office ContextThe Office of External Affairs contains three teams:
1) Communications and Marketing,
2) Development and Constituent Relations, and
3) Finance and Administration. The Finance and Administration team provides business operations support and collaborates with colleagues in the other two teams.
This Development Coordinator provides event‑related support to the Alumni Relations and Special Events teams in the Office of External Affairs. Responsibilities include preparing for events at the School and other domestic and international venues.
Key Responsibilities- Coordinate advanced logistics for in‑person, hybrid, and virtual events, symposiums, lectures, and meetings, including luncheons and dinners.
- Design, prepare, and distribute invitations and registration forms.
- Track, record, and share RSVPs with appropriate team members.
- Submit RFPs to service providers, evaluate proposals, negotiate contracts, and process event invoices (catering, rentals, florals, photography, transportation, etc.).
- Research venues, reserve rooms, and coordinate security, housekeeping, parking, and transportation as needed.
- Identify and arrange audio/visual equipment needs; set up virtual attendee connections (Zoom details, breakout sessions, etc.).
- Prepare meeting materials (nametags, final agendas, and other print collateral).
- Create guest lists and confidential briefings; gather data from the donor/alumni database and other resources.
- Manage onsite event logistics, including space preparation, material transport, and set‑up.
- Act as point of contact for service providers, multimedia contacts, and internal BSPH staff.
- Oversee event check‑in: print nametags, upload guest lists to the registration system, and manage staff volunteers.
- Provide post‑event support, ensuring prompt receipt and payment of invoices.
- Compile attendance reports with constituent IDs where possible.
- Coordinate with budget managers to align event expenses with budget allocations.
- Manage inventory of donor giveaways and place replenishment orders as needed.
- Assist with larger group projects and assignments as part of the operations team.
- Prepare and send correspondence and packages via messenger service and Fed Ex for events.
- Perform other duties as assigned.
- Support marquee internal and external School events, including Campaign and Sesquicentennial initiatives.
- Provide advanced event coordination and day‑of assistance for the School's Health Advisory Board meetings.
- Assist with planning high‑level donor engagement and stewardship events such as dinners and professorships.
- Represent the school as community impact leader for the annual United Way campaign; lead coordination of key fundraising events; act as point-of-contact for the school's ambassador team; coordinate ambassador communications and participation; manage petty cash, campaign donations, and prize distribution.
- Coordinate logistics and provide onsite support for the School's Convocation ceremony, including catering, linens, volunteer coordination (training, uniform and nametag distribution), transportation of materials, and VIP/faculty check‑in.
- Lead coordination efforts for Office of External Affairs Team programming, including Holiday party, quarterly all‑staff meetings, and annual retreats.
