Overview

LHH is partnering with a organization in the Baltimore area to find a highly skilled Executive Assistant. The ideal candidate will have experience supporting a C-level executive with a complex schedule, frequent travel, media appearances, and board responsibilities. This individual must be comfortable with ambiguity, shifting priorities, and working both independently and collaboratively.

Full Time | Senior Administrative Support | Hybrid Schedule

Are you a proactive, detail‑driven professional who thrives in a fast‑moving environment and enjoys supporting mission‑driven leadership? We are seeking an Executive Assistant to provide high level administrative support to the President and CEO and the Vice President of Strategy and Communications. This role is essential in ensuring smooth operations, effective communication, and strong coordination across teams and external partners.

This position requires exceptional judgment, professionalism, and the ability to anticipate needs while managing complex schedules and priorities. Occasional after hours or weekend support may be required.

Key Responsibilities
  • Executive Support:
    Strategically manage complex calendars across multiple time zones
  • Executive Support:
    Maintain contacts, appointments, and scheduling changes
  • Executive Support:
    Submit accurate and timely expense reports
  • Executive Support:
    Support executives in prioritizing workload and preparing for deadlines
  • Meeting and Event Coordination:
    Plan and schedule meetings, ensure attendees have all necessary materials
  • Meeting and Event Coordination:
    Take notes or minutes and manage post meeting follow‑up
  • Meeting and Event Coordination:
    Prepare background research, talking points, and supporting materials
  • Meeting and Event Coordination:
    Coordinate room setup, food and beverage needs, transportation, and logistics
  • Travel Coordination:
    Arrange travel itineraries, accommodations, transfers, and on the ground logistics
  • Travel Coordination:
    Support trustees and board members with travel planning and expense submissions
  • Communication and Liaison:
    Serve as the primary point of contact for internal staff, trustees, and external partners
  • Communication and Liaison:
    Ensure timely, courteous, and professional communication
  • Communication and Liaison:
    Respond to mail, phone inquiries, and appearance or event requests
  • Communication and Liaison:
    Represent leadership with discretion and professionalism
  • Operational and Administrative Support:
    Assist with front desk coverage as needed
  • Operational and Administrative Support:
    Maintain awareness of organizational mission and programs
  • Operational and Administrative Support:
    Handle confidential information with the highest level of integrity

    Manage additional duties and special projects as assigned
Skills and Qualifications Experience and Skills
  • Experience supporting C‑suite leaders, senior executives, and board members
  • Experience in nonprofit or community‑based environments is highly beneficial
  • Highly organized with strong ability to anticipate needs and manage competing priorities
  • Adaptable, self directed, and comfortable working in a fast paced environment
  • Excellent written and verbal communication skills, with a high attention to detail
  • Ability to handle sensitive information with absolute confidentiality
  • Ability to work in person two to three days per week
Technical Skills
  • Proficiency with Microsoft Office, Teams, Outlook, Zoom, and database systems
  • Experience with Concur or project management tools is a plus
