Main Purpose of JobAn Administrative Aide provides secretarial support to an official, administrator or administrative staff by using a keyboard and word processing software. The role supports staff attorneys, Office Manager and core staff to ensure the everyday and long‑term functioning of the district court office from both a legal and administrative perspective.
Key responsibilities include:
- Providing secretarial support for staff attorneys and ensuring the office remains open and staffed during business hours (8:00 a.m.–5:00 p.m.).
- Pulling district court transfer cases forwarded to the circuit court, organizing, pulling and distributing district court files by docket to assigned attorneys.
- Downloading and uploading electronic discovery, entering data in the case‑management system (eDefender), filing as needed in MDEC.
- Researching incoming client mail, answering overflow calls, retrieving voicemails, and returning calls.
- Maintaining office copiers, printers, and overseeing mail stamped and mailed daily through
- Maintaining office supplies and notifying the Office Manager of supply needs for ordering.
This position involves significant client contact to provide and gather information over the phone and in person.
Minimum Qualifications- Education:
Graduation from an accredited high school or possession of a high school equivalency certificate. - Experience:
Four years performing secretarial work or clerical work involving typing duties. - Notes:
- Additional secretarial or clerical experience may be substituted on a year‑for‑year basis for the required education.
- Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
- Candidates may substitute U.S. Armed Forces military service experience as a non‑commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year‑for‑year basis for the required experience.
Preferred Qualifications
Preferred qualifications include experience performing data entry, using Microsoft Office Suite software applications and Google Workspace. Familiarity with working in the legal or court system, interacting with arrested persons, youths, attorneys and law enforcement or courtroom personnel is desirable.

Special RequirementsDemonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
Selection ProcessApplicants who meet the minimum qualifications will be admitted to the examination for this classification. Successful candidates will be ranked as BEST QUALIFIED, BETTER QUALIFIED, or QUALIFIED and placed on the employment (eligible) list for at least one year.
