THE OPPORTUNITY
The Greater Baltimore Committeeseeksadetail-oriented, proactive, and tech-literateadministrative assistant tojointhe Operations team.
Theadministrative assistant will handlea range of administrative tasks that keep our operations runningsmoothly—leveraging
Microsoft 365 and SharePoint, office
AV, CRM platform,project management system, and other technology. They willplay a crucial rolein coordinating andfacilitatingstrong operations of the organization, includingcalendar management,officeandcross-functionalcoordination,and event support.
In addition to being a critical member of the Operations team, this role will specifically support the Economic Investment and Strategy teams,supporting scheduling, external coordination, and project management.
This role requiresstrong communication skills,the ability to multitask and prioritize,theabilityto conceptualize and execute complex scheduling,andawillingnessto adopt technology and learn. The ideal candidate isatrue team player ready to support a dynamic and fast-paced environment.
- Act as a liaison between the Operations team,other GBC teams,and external partners and stakeholders;
- Coordinate and support preparation and follow up frommeetings,retreats andteambuildingactivities,conferences,andevents;
- Manage calendars for team members,includingschedulingappointments, meetings,and convenings,and coordinate travel arrangements;
- Prepare, edit, and format documents, reports, and presentations;
- Leveragetechnology toolsandsupport datacapture and qualityin GBC’s core systems, supporting GBC’s technology transformation roadmap(i.e.Salesforce, SharePoint, );
- Coordinate cross-functionally and gather relevant data and input to support decision-making;
- Other duties as assigned, including handlinggeneral administrative tasks,i.e.credit card reconciliation,emailcorrespondence,phone inquiries, and supporting preparations of grant applications and reports.
- High school diploma or a General Education Development (GED) certificate, at minimum,required;
- 3+ years experience as an Administrative Assistant or in a similar
EA or coordinator role; - Strong organizational and time-management skills;
- Excellent written and verbal communication skills;
- Comfort navigating digital tools and open to learning new technologies.
Proficiency in MS Office Suite, Salesforce,and other relevant software is a plus; - Ability to handle sensitive information with confidentiality;
- Experience working inadynamicandfast-paced environment.
