Position: ADMINISTRATIVE SPECIALIST II

Introduction

Maryland Department of Labor is currently accepting applications for an Administrative Specialist II position within the Division of Labor and Industry, Safety Inspection program. Main Purpose of Job

To serve as the primary point of receipt and processing for all program payments, ensuring accuracy, timeliness, and strict adherence to inter‑unit procedures andившись cash‑handling policies. The role safeguards funds, maintains precise financial records, and supports internal controls to promote overall program efficiency.

POSITION DUTIES

• Serve as the main point of receipt for all payments (Check, Credit Card, and ACH), initiating and managing the payment process in accordance with inter‑unit procedures; ensure strict compliance with cash‑handling policies, maintain accurate records, and safeguard funds.

• Log payments and refunds into databases (JRS, Evoke, SIU Access Database).

• Provide critical support by regularly updating and maintaining JRS and Evoke database files; perform quality checks to maintain data integrity and streamline processes.

• Process third‑party reports by entering received reports into databases.

• Provide comprehensive administrative support to the Program Manager and Chief Inspectors, assisting in the development, implementation, and monitoring of policies, procedures, and processes to align with departmental goals and regulatory requirements.

• Conduct research and investigations, gathering and analyzing data for use in compliance cases; independently review case files and determine whether a citation is warranted.

• Perform other duties as assigned by management, including backup support for clerical staff during absences.

MINIMUM QUALIFICATIONS
  • High school diploma or high‑school equivalency certificate.
  • One year of experience performing administrative, clerical, or secretarial work.
  • nosť– 30 college credit hours may substitute for the required experience.
  • Military service as a non‑commissioned officer may substitute for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
  • At least six months of experience handling payments or cash transactions in accordance with established policy.
  • Experience providing administrative support in an office, regulatory, compliance, safety, or customer‑service environment.
  • At least six months of experience performing program support tasks such as updating database records, processing documentation, and assisting staff.
SPECIAL REQUIREMENTS

• Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations.

• All candidates are subject to a background check by the Division of Unemployment Insurance (LABOR/DUI) to verify any unpaid unemployment debt. Unpaid debt may affect employment offer.
