Under general supervision, performs responsible bookkeeping and accounting‑clerical work in a school. Receives, maintains, and disburses school and student activity funds. Prepares school financial bookkeeping records and reports. Performs various secretarial and clerical duties in support of the school. Performs other duties as assigned.
Responsibilities- Maintains a complete accounting system for the receipt and disbursement of school and student activity funds in accordance with established Board policies and procedures.
- Performs various accounting clerical tasks such as counting money collected from various school organizations, furnishing receipts, crediting appropriate accounts, and depositing money into bank accounts. Maintains a petty cash fund.
- Prepares accrual, financial and sales tax reports. Discusses the financial status of the various accounts with school sponsors and treasurers. Prepares financial statements as necessary.
- Performs accounting‑clerical activities associated with BCPS allocated funds. Handles transactions, pays bills, and maintains necessary records.
- Maintains source material from which school business and operational reports required by BCPS, state, federal, and other authorities are prepared. Prepares or assists in preparation of periodic and special school business and operational reports.
- Monitors the school’s purchasing privileges and memberships. Maintains a school internal purchase order system. Analyzes budget printouts with school records to verify accuracy.
- Reviews bank statements. Reconciles any discrepancies against amounts, accounts, and supportive documents. Totals and balances journal and ledger cards. Prepares monthly/periodic financial reports.
- Attends school finance committee meetings with administrator for the purpose of recommending specific actions to be taken with respect to the school activity funds and reporting current information on individual account revenues and expenses.
- Assists in developing general school fund and athletic fund budgets by providing revenue and expense amounts for past years. Prepares and submits to the Board monthly financial reports.
- Maintains and updates student obligation lists and amounts.
- Assists in preparing the payroll records. Prepares and completes after‑school use of building request forms and invoices.
- Contacts students, school administrative and instructional staffs, central office staff, and vendors with regard to school bookkeeping matters.
Possession of a high school diploma or an appropriate equivalent; plus four years of progressively responsible bookkeeping and/or account‑clerk office experience.

Licenses and CertificatesN/A
Knowledge, Skills, and AbilitiesKnowledge of the practices and procedures of accounting clerical work and bookkeeping. Knowledge of office practices and procedures. Knowledge of personal computers and MS Office software applications.
Skill in performing accounting‑clerical and bookkeeping duties. Demonstrated skill in typing 40 words per minute.
Ability to make decisions in accordance with established school policies and procedures. Ability to exercise courtesy and good judgment in dealing with students, parents, administrators, other employees, vendors, and the general public.
Physical and Environmental ConditionsThe work of this class is generally sedentary and performed in an office environment. Work includes the operation of office equipment, including personal computers.

RetirementEligible for the Maryland State Retirement System.
Salary$23.13 – $40.46 per hour, depending on experience, per ESPBC grade 05 hourly base pay scale for non‑exempt office professionals, clerical and classified employees, effective January 1, 2026.
