Overview
Clinic Manager (Healthcare)
The Clinic Manager is the operational backbone of our Bakersfield clinic--owning day-to-day clinic flow, team coordination, client experience, scheduling logistics, and administrative performance. This role partners closely with clinical leadership to ensure the clinic runs smoothly, stays compliant, and delivers a high-quality experience for clients and staff.
Responsibilities- Lead daily clinic operations including front desk workflow, scheduling, office coverage, and client check-in/check-out.
- Supervise and coach administrative/front office staff (and other assigned roles), including training, accountability, and performance feedback.
- Maintain clinic readiness: supplies, equipment, office organization, and vendor coordination.
- Coordinate provider schedules, room utilization, and appointment capacity planning to support productivity and access to care.
- Ensure excellent client experience--address escalations professionally and resolve service issues quickly.
- Support documentation and administrative compliance (HIPAA, confidentiality, internal policies, and any applicable program requirements).
- Track and report key clinic metrics (show rates, cancellations, referral volume, scheduling lag, staffing coverage, etc.).
- Partner with HR/Director of Clinical Operations on hiring needs, onboarding, timekeeping, and employee relations support.
- Maintain accurate records and support billing/authorizations workflow as applicable (in partnership with Billing).
- Lead continuous improvement: identify bottlenecks, implement solutions, and standardize processes across the clinic.
- 3+ years of experience in healthcare, behavioral health, or clinic operations (or similar service-based operations).
- 1+ year of supervisory/leadership experience.
- Strong scheduling and operational coordination skills; comfortable managing competing priorities.
- High attention to detail and strong follow-through.
- Proficiency with office systems Microsoft Office and ability to learn Therapy Notes quickly.
- Ability to maintain confidentiality and handle sensitive situations with professionalism.
- Experience in behavioral health, mental health, or community-based services.
- Familiarity with EHR systems and medical/behavioral health scheduling workflows.
- Experience with compliance workflows and audit readiness.
- Bilingual (Spanish/English) a plus (only include if truly job-related for your client population).
