Basic Function

Under the direction of an assigned supervisor, provide complex and confidential clerical and secretarial services to college administrators, faculty and staff, to provide information to faculty, staff, students and the public, and to provide complex staff assistance to departments.

Distinguishing Characteristics

The Department Assistant III provides specialized clerical support requiring a broad knowledge of an assigned program or functional area. Incumbents are typically assigned to a functional area where use of independent judgment requires related specialized training and experience.

Representative Duties
  • Perform general secretarial and clerical work; schedule appointments and process personnel information.
  • Monitors, orders, distributes and maintains office supplies; orders textbooks; maintains and troubleshoots new equipment.
  • Receives and sorts mail; types and proofreads reports, letters, projects and proposals.
  • Assists in preparing and typing course outlines and catalog information including class and final examination schedules.
  • Participates in planning, development and implementation of events and functions related to the area of responsibility, including fundraising and special events.
  • Assigns work activities, projects and programs to clerical and student help; monitors workflow; reviews and evaluates work products, methods and procedures.
  • Assists in the selection and training of clerical or student staff.
  • Performs student assistance tasks such as scheduling classes, arranging special accommodations, informing students of class cancellations, and processing transfers.
  • Prepares reports and requests such as travel request forms, faculty request forms, monthly payroll, teacher absences, and student assistants’ time cards.
  • Manages filing systems; maintains employee files, budget information and student rehabilitation progress logs.
  • Receives and delivers supplies; verifies shipments; records purchase orders; forwards orders to the District office for payment.
  • Addresses supply and material delivery problems; identifies shipping problems and returns goods shipped in error to vendors.
  • Reviews outgoing correspondence and reports for accuracy, completeness and compliance; participates in developing program newsletters.
  • Maintains calendars and schedules; coordinates activities with other departments, Board and committee members, the public and outside agencies.
  • Applies policies and procedures to determine completeness of applications, records and reports.
  • Serves as a receptionist; answers phones and provides information on policies, procedures, classes and schedules.
  • Participates in budget preparation and administration; prepares cost estimates; submits justifications; prepares requisitions for supplies and equipment for funded projects; monitors and controls expenditures.
  • Exerts functional and technical supervision over clerical and secretarial staff and student assistants.
  • Performs related duties as assigned; duties at extension sites may be diverse and varied.
Minimum Qualifications

Graduation from high school and three years of responsible clerical experience, or an equivalent combination.

Knowledge & Abilities
  • Modern office procedures, methods and computer equipment.
  • Word processing methods, techniques and programs.
  • Correct English usage, spelling, grammar and punctuation.
  • Principles of budget administration.
  • Basic arithmetic.
