DescriptionJUDICIAL COURTROOM ASSISTANT I/II – North Kern, Delano - 006
Under general supervision, assists judicial officers in an assigned courtroom or department by maintaining accurate records of court proceedings; controlling court calendars and scheduling hearings according to legal and procedural time constraints; acts as a liaison between judicial officers and legal counsel, court staff, interested parties and the general public to answer procedural questions; and addresses courtroom problems as they occur.
Depending on assignment, positions within this classification may be assigned to courtrooms which handle a wide variety of civil, criminal, family law, probate or juvenile cases. Incumbents are expected to perform a variety of difficult, specialized and highly responsible courtroom support functions that require a thorough knowledge of legal terminology, procedures and practices for their litigation areas, with a moderate degree of independence and high accountability for results.
Incumbents are also expected to exercise considerable discretion in carrying out responsibilities independently and with a thorough understanding of court policies and procedures.
The following examples describe the general nature and level of work performed by personnel assigned to this classification. Any one position may not perform all duties listed below, nor is this an exhaustive list of duties, responsibilities and skills.
- Attend court sessions; maintain official record of court proceedings; take rough minutes; administer oaths; read information to jury; read verdicts; poll jurors as necessary; prepare, assemble, process, and maintain reports, logs, forms, and documents generated from court proceedings; use appropriate legal terminology and format; ensure all items are included; submit for judge's signature; copy, file, and distribute documents as appropriate.
- Enter data into computer systems to record court proceedings/actions and generate/update documents such as calendars, minutes, minute orders, rulings, motions, pleas, verdicts, sentencing, warrants, and related records.
- Act as a liaison between judge, attorneys, agencies, and the public; answer inquiries and interpret court policies and procedures.
- Maintain assigned courtroom calendar; coordinate scheduling with presiding department and attorneys; set and confirm dates as appropriate.
- Track cases submitted to the court; monitor filing dates and timelines; assemble reports and documents to ensure the Judge has the necessary records at the right time.
- Assist judge in the jury selection process and maintain jury records; manage jury panels, examinations, on-call jurors, peremptory challenges and challenges for cause; maintain jury ladder and attendance records; process jury expenses and fees; liaise with the jury commissioner.
- Maintain control of and custody of exhibits; receive, mark, tag, and secure exhibits; maintain exhibit lists; release/return exhibits as appropriate.
- Review orders and filings for accuracy; prepare and submit orders for signature; prepare and issue legal documents and court records as directed by the Court.
- Review, verify, and calculate claims for payment for court-appointed personnel; submit for signature and processing.
- Type a variety of forms and documents; copy, file, and distribute as appropriate.
- Provide support for assigned judges; check case status; obtain files and necessary materials.
- Manage the logistical flow of courtroom activities to ensure efficient operations; check-in attorneys and litigants; notify jurors of schedule changes; provide information on case status; answer calls and manage exhibits; request interpreter services and special equipment when needed; coordinate with bailiff or courtroom staff; may open/lock courtrooms as needed.
