Job Overview

The Registrar is responsible for maintaining accurate and up-to-date student records after enrollment, working closely with Admissions and the Outgoing Records Department. Key duties include verifying student data (SPED, 504, Legal Names, DOB, ODE/SISID), double-checking the last school of record before requesting records, requesting and organizing academic and health records (transcripts, immunizations, IEPs), and ensuring proper documentation is scanned and stored for processing by relevant departments.

This role requires strong collaboration, attention to detail, and a thorough understanding of FERPA regulations. Proficiency in computer applications and understanding systems such as Google Sheets/Docs is essential for tracking student data and managing documentation.

Key Responsibilities
  • Review and verify student profiles in ODE; coordinate corrections with Admissions/ADM.
  • Request and receive cumulative records via email or fax; prioritize transcripts, immunization records, and IEPs.
  • Upload documents to a shared drive for processing by appropriate departments.
  • Maintain and organize cumulative files
    • Print student applications from School Mint
    • Organize incoming cumulative files with dividers
    • File away all cumulative files in the file room
    • Perform monthly file reconciliations
Compliance and Confidentiality
  • FERPA and Legal Compliance
    • Follow all applicable district, state, and federal policies and laws, especially those related to the protection of student records.
    • Ensure strict adherence to FERPA regulations in all communication, record-keeping, and data-sharing practices.
  • Confidentiality Protocols
    • Maintain confidentiality in all aspects of student and family interactions.
    • Support the district's protocols regarding abuse reporting and ensuring the safety of students and staff in an educational setting.
Clerical and Administrative Support
  • Perform various clerical duties, including maintaining accurate and up-to-date student records, processing student documents, and handling administrative paperwork.
  • Operate office machines and technology tools as necessary to support daily operations.
  • Provide general support to the office as needed.
Training and Professional Development
  • SIS Training:
    Ensure proficiency in all district-required systems for data management.
  • Ongoing Support:
    Participate in ongoing professional development to stay up-to-date on the latest policies, tools, and technology that support student enrollment, data management, and educational processes.
Qualifications
  • Strong organizational skills and attention to detail.
  • Ability to multitask and handle multiple responsibilities in a fast-paced environment.
  • Strong working knowledge of office equipment, computers, and data management systems.
  • Familiarity with educational regulations, particularly FERPA.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Proficiency with student information systems (SIS), database management, and other educational software tools.
  • Ability to collaborate effectively with students, employees, and administrators in a professional manner.
  • Ability to lift 30 lb tubs of files up and down stairs.
Education
  • High School Diploma or equivalent.
  • Successful completion of college level coursework preferred
Experience

Prior experience working with data systems, forms, and data work history is preferred.
