OverviewJob Description:
Full-time position to act as front office manager for the Dental Hygiene teaching clinic and provide clerical support in the Dental Education Program.
- Acts as front office manager/receptionist for the Dental Education teaching clinic overseeing daily office operations. Greets and directs prospective dental education students; gives clinical tours as needed.
- Assembles and maintains patient charts, ensures documents are properly completed and performs scanning of departmental files.
- Collects payments from patients, verifies charges are correct, and delivers daily receipts to cashier's office.
- Runs daily financial reports from Dentrix program and provides to director as needed.
- Organizes and maintains front office to ensure easy retrieval of patient information for student clinicians and faculty members.
- Verifies patient charts to ensure proper paperwork is current and in files; archives files when necessary.
- Oversees work-study student(s), including making assignments and providing training as needed.
- Monitors student compliance to clinic policies and procedures and completes subjective clinical evaluations, reports issues of noncompliance to director.
- Monitors student s patient outstanding balance lists; informs student of patient balance and ensures collection of balances at next clinical visit.
- Maintains Dentrix program and electronic databases of all patient chart forms, patient information, and clinic documents and information used in the dental hygiene teaching clinic.
- Generates correspondence to students and patients as directed by the director and/or faculty members.
- Assists faculty with auditing patient charts in accordance with program credentialing requirements.
- Assists faculty with preparation and distribution of teaching materials to students and patients.
- Assists in completion of patient surveys in cooperation with the Institutional Research Department.
- Creates and maintains appointment books and patient call lists; ensures books are updated and lists are accurate and rotating.
- Records, transcribes, and distributes weekly faculty meeting minutes.
- Purchases office supplies and maintains appropriate inventory of needed clinic, lab, and office supplies.
- Serves as liaison between dental education faculty and various other departments and vendors, when needed, to maintain clinic equipment.
- Contributes to unit planning, assessment, and college institutional effectiveness efforts.
- Acts in accordance with local, state, and federal laws/regulations as well as College policies and procedures.
- Performs other duties as assigned.
Educational: Associate or higher degree in a related field preferred.
Experiential: Minimum of one (1) year of office experience performing day-to-day administrative activities required; preferably in a dental office. Dental office management experience and use of Dentrix software strongly preferred.
Other: Computer literacy in word processing required; experience using electronic spreadsheet and database software preferred. Strong interpersonal skills with all age groups required.

Starting Annual Salary Range: $33,287 - $36,550 ($16.00 - $17.57 per hour)
